Do you want to become a key contributor on the legal team? If so, we are searching for a driven Legal Optimization Specialist to join our legal team! This pivotal role contributes to the redesign of our legal document management system, invoice processing, department budget monitoring and reporting. This role is crucial for managing and implementing departmental projects while supporting various initiatives. This opportunity involves analyzing processes to streamline operations by optimizing internal workflows and identifying areas for improvement. The goal is to act as a resource to support department executives and their direct reports, as well as other internal staff, on various aspects of department operations.
You will be trusted to:
- Serve as project manager for departmental projects, budgets and schedules. Manage project planning, resourcing, progress reporting, and troubleshooting.
- Assist with the management of department finances, annual business plan including forecast reporting and monitoring, analysis, identification of budget accounting codes for expenses, and all related required financial processes and procedures.
- Manage and processes department invoices to ensure appropriate accounting codes are applied to payment, track invoice documentation, seeking approval prior to payment, and all related required financial processes and procedures.
- Assist with Board and Committee processes to ensure materials are submitted as required. Participate in preparing board material packets, itineraries, and agenda items.
- Lead in creating procedural manuals, processes and training documents for approval.
You qualify with:
Nine or more years of experience in business operations, business services, project management or other relevant experience. A degree(s) in business administration, business management or relevant field may be substituted per LCRA guidelines for certain years of experience.
You are a great fit with:
- Experience as a Business Operations Specialist or similar role in Operations
- Strong analytical and project management skills
- Experience with financial budgeting, forecasting and reporting
- Experience with matter management and document management systems
- Proficiency in Office 365 and business software (Word, Excel, PowerPoint, SharePoint Administrator, PeopleSoft, Document Management System-OnBase, Ironclad, Visio)
- Strong problem-solving abilities and attention to detail
- Industry knowledge/experience related to law office operations
- Excellent verbal and written communication skills
