Reporting to the Chief Compliance Officer, the Legal & Executive Assistant is a pivotal role that sits at the intersection of executive leadership support and workplace operations. This role supports the organization across three equally important dimensions: maximizing the effectiveness of the General Counsel, providing administrative support to the broader Executive Team and managing the day-to-day operations of our Support Center.
This role offers exposure to executive leadership, legal operations, and organizational priorities across the enterprise, and therefore requires strong judgment, discretion, and the ability to operate independently while managing multiple priorities in a fast-paced environment.

Executive Support:Act as the primary liaison between internal and external stakeholders and the General Counsel, Executive Team, and the Support CenterProvide calendar management and administrative support for members of the executive leadership team, including scheduling and prioritization of meetingsPlan and prepare executive meetings, including agendas, materials, and pre-meeting logistics.Manage executive meeting spaces and technology, ensuring accurate scheduling, room readiness, and a high-quality in-person or virtual experienceSupport post-meeting follow-up, including documentation of notes, action items, and ongoing tracking as needed.Legal and Compliance Support: Manage follow-up on General Counsel priorities, including tracking commitments, action items, and deadlines for compliance reporting, regulatory, and legal submissionsPrepare, review, and format legal documents, contracts, and correspondenceMaintain and organize case files, compliance records, and legal databasesSupport the legal and executive team with contract management, regulatory filings, and governance tasksCoordinate between the Central Business Office and Legal Department on accounts receivable collection actions, including asset investigation and collection proceedingsSupport the Compliance Department on compliance initiativesLiaise with outside counsel and insurance carriers, as neededAssist with research, fact-checking, and document coordination for legal mattersCoordinate document execution, notarization, and filings with courts or regulatory agenciesMaintain accurate records for audits and regulatory inspectionsOffice Management:Ensure the Support Center office operates efficiently, professionally, and in alignment with organizational standardsServe as a key liaison with Facilities, IT, Security, and other internal partners to maintain a seamless office environmentOversee daily office operations, including mail handling, office supply inventory, and vendor coordinationManage office services and resources, including ordering supplies, sorting and distributing mail, and maintaining common areasCoordinate internal meetings and on-site events, including catering, food orders, and event setup as needed.Visitor & Event Coordination:Manage visitor experience, including guest reception, parking coordination, and adherence to building access and security protocolsSupport internal and corporate-sponsored events hosted at the Support Center, ensuring smooth logistics and professional executionThe employee will be frequently sitting, standing and walking. This role will require significant use of standard computer/laptop equipment. This role will be required to occasionally carry (up to 20 pounds), push (such as a cart with equipment, mail, food, etc.), squat or kneel (such as storing office supplies).
