Reporting to the Senior Counsel MY & SG, the Legal Analyst provides hybrid legal, company secretarial, administrative and operational support to the Law Department. This role will support both Malaysia and Singapore market.
Principal Accountabilities
Company Secretarial: Perform general company secretarial duties for both Malaysia and Singapore. Preparing board resolutions, maintain statutory registers, assisting with annual filings. Liaising with external company secretaries service providers. Operate and maintain legal systems and databases, including the GEMS platform, to reflect changes in director appointments and resignations across entities. Filing of Audited Financial Statements within the given timeline.
Budgeting, Reporting and Monitoring: To assist Law Department with the preparation of annual budget, departmental and financial reporting (Malaysia & Singapore). To assist in preparation of annual budget allocation including travel and expense, and annual operating budget. Managing Law Department's budget tracking. Manage travel arrangements, accommodation bookings, and expense claims for members of the Law department, ensuring timely processing and adherence to internal policies.
Liaison Person for Outside Counsel: Assist in onboarding of outside counsel. Monitor the status of all legal matters handled by outside counsel and verify all legal billings and invoices so as to be in accordance with Philip Morris International Guidelines for Outside Counsel and PMI policies. Manage the outside counsel on their timely delivery of opinions and their billing. Negotiate their hourly rates and manage their billings so that they are within the annual budget.
Liaise with business partners in relation to administrative matters (for eg. signing and stamping of documents). Arrange and coordinate meetings and conference calls, and ensure proper and efficient workflow and processes within and outside the department.
Inter Function Support : Liaison person with global PIC for appointment of new law firm/ vendors. Main contact person for Corporate Audit. Support the preparation with Finance, Company Secretary, Commissioner of Oaths and Auditors.
