Job DescriptionWe are excited to offer a unique opportunity for a Legal Administrator to join the in-house legal team at Minor Hotels. Based in our Brisbane CBD Corporate Office and reporting to the General Counsel & Company Secretary, this role provides an excellent pathway to advance your career within a global hospitality and property organisation headquartered in Queensland.
As part of a collaborative and high-performing legal team, you will play a pivotal role in supporting the General Counsel and providing administrative assistance to the legal department. This role is ideal for a professional who thrives in a dynamic, fast-paced environment and is eager to contribute to the effective operation of an award-winning legal team alongside some of Queensland’s best in-house legal professionals.

Key Responsibilities
This role is varied and no day will likely be the same! The team works on various matters including large acquisitions, both large and minor disputes and complaints, managing regulatory investigations, overseeing legal compliance, contract reviews, general legal advice, franchising law, hotel management agreements, management rights advices, HR matters, privacy matters, intellectual property protection and various other advices.
Some of the role’s key responsibilities include:
Managing the matter management system’s “intake” process to ensure proper setup and information collection.Maintaining and updating electronic and original legal files, ensuring version control and record-keeping.Assisting with legal department filing protocols and monitoring external legal expenditure.Updating legal precedents and scheduling legal education sessions.Preparing initial document drafts using precedents for legal team review.Supporting contract lifecycle management, including saving contracts, monitoring key dates, managing execution, and conducting annual audits.Liaising with internal and external parties to review and finalise contracts.Managing legal team registers (e.g., FIRB and Franchise Registers).Organising travel, expense management, and meetings for the General Counsel.Administering fortnightly legal meetings (agendas, notes, action items) and managing the General Counsel’s calendar and correspondence.Monitoring the General Counsel’s inbox when absent and managing legal team subscriptions.Delivering high-standard internal and external customer service.Maintaining professional communication, presentation, and adherence to Minor Hotels’ Code of Conduct and Policies.Ensuring data integrity, accuracy, and confidentiality.Complying with health and safety regulations, reporting workplace hazards, and attending relevant training.QualificationsTo be successful in this role you will require the following:
Proven ability to liaise and communicate effectively with staff, external lawyers, and regulatory bodies in a professional and positive manner.Full comprehension of office management systems and procedures.Experience working with an in-house legal team or in a legal private practice is highly regarded but not essential.Strong proficiency in Microsoft Office products (Word, Excel, and PowerPoint).Experience with LawVu is highly regarded but not necessary.Demonstrated commitment to high professional and ethical standards.Additional InformationAt Minor Hotels, we value our people as the heart of our success.
