Administrative Assistant, General Counsel Office

Job Overview:

RWJBarnabas Health is seeking an experienced and detail-oriented Administrative Assistant to join our Legal Department. As a key member of our team, you will provide comprehensive administrative support to the legal team, helping ensure the efficient operation of the department. This position requires a highly organized individual with strong communication skills, the ability to handle sensitive information with discretion, and a proactive approach to problem-solving.

Reports To:

The Administrative Assistant, General Counsel Office will report directly to the Executive Vice President and Chief Business Development and Legal Officer

Qualifications:

5 to 7 years of administrative experience, preferably in a legal or healthcare environmentBachelor s degree or equivalent experience preferredStrong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Familiarity with legal terminology, documentation, and processes is preferredExcellent written and verbal communication skillsStrong organizational skills and the ability to manage multiple tasks simultaneouslyAbility to work independently and collaboratively in a fast-paced environmentAttention to detail and high level of accuracyDiscretion and confidentiality in handling sensitive legal mattersKnowledge of healthcare regulations and compliance is a plus

Essential Functions:

Provide high-level administrative support to attorneys, including managing calendars, scheduling meetings, and organizing appointmentsPrepare, proofread, and edit legal documents, contracts, and correspondenceManage and maintain legal files, both physical and electronic, ensuring they are up-to-date and easily accessibleAssist in the preparation of legal presentations, reports, and memorandaCoordinate and facilitate communication between the Legal Department and internal departments, external counsel, and third partiesHandle confidential and sensitive information with the utmost discretion and professionalismManage department invoices, track expenses, and assist with budget managementCoordinate logistics for department meetings, conferences, and eventsSupport litigation processes by organizing case files and assisting in trial preparations as neededConduct legal research and gather information to assist attorneys with ongoing casesPerform general office duties including answering phones, ordering supplies, and ensuring the department runs smoothly

Salary Range: $47,476.00 - $66,827.00 Annual
