Description
PURPOSE OF POSITION
The Leave Administrator is responsible for managing all aspects of employee leave programs, including FMLA, ADA, and other company or legally mandated leaves. This role supports employees through the entire leave process and provides backup support to the broader HR Team as needed. These functions are performed in accordance with the mission, core values, and purposes of Ideal Option.
JOB DUTIES AND RESPONSIBILITIES
The following functions have been determined by Ideal Option to be essential to the successful performance of this position which includes but is not limited to:
+ Serve as the subject matter expert on all types of leave, including FMLA, ADA, state-specific paid leave laws, workers' compensation, short and long-term disability, military leave, and company leave policies.
+ Coordinate and process leave requests from start to finish, including tracking eligibility, issuing notices, gathering documentation, and communicating with employees and managers
+ Ensure timely and accurate entry and tracking of leave in HRIS/and or leave systems.
+ Partner with payroll to ensure accurate time tracking and benefit deductions during leave periods.
+ Maintain compliance with applicable laws and internal policies, ensuring proper documentation and recordkeeping.
+ Reconcile monthly benefit invoices to ensure accurate billing.
+ Support ADA accommodation requests by facilitating the interactive process and coordinating with HR and department leaders.
+ Monitor intermittent leave usage and follow up on recertification or misuse concerns.
+ Educate employees and managers on leave policies, processes, and employee rights.
+ Communicate with third-party vendors as needed (e.g. disability carriers, workers’ comp insurers).
+ Monitor return-to-work timelines and ensure appropriate documentation is completed.
+ Assist with audits and provide reporting related to leave activity and trends.
+ Stay current on changing leave laws and recommend updates to policies or procedures as needed.
+ Provide general HR support, including responding to employee inquiries, updating employee records, and supporting team initiatives.
+ Performs other projects and duties as assigned.
WORKING ENVIORNMENT:
+ Fully remote position; must have a dedicated home office setup.
+ Requires reliable high-speed internet access.
+ Daily use of computer, email, and video conferencing tools.
+ Must be comfortable working independently with minimal supervision.
+ Availability during core business hours; may need to accommodate multiple time zones.
+ Quiet, professional environment required for handling confidential information.
+ Periods of stress may occur.
Physical Demands:
+ Prolonged periods of sitting at a desk and working on a computer.
+ Frequent use of hands and fingers for typing and data entry.
+ Ability to communicate effectively via phone, video calls, and email.
+ Occasional light lifting of office materials or equipment (up to 10 lbs.).
+ Visual acuity to view a computer screen and read digital documents for extended periods.
+ Ability to focus and concentrate in a home office environment with minimal distractions.

Requirements
KNOWLEDGE, SKILLS, AND ABILITIES:
+ Strong knowledge of leave laws and regulations, including FMLA, ADA, HIPAA, and state-specific leave mandates.
+ Exceptional attention to detail and organizational skills.
+ Ability to handle sensitive and confidential information with professionalism and discretion.
+ Excellent written and verbal communication skills.
+ Ability to explain complex policies in a clear and supportive manner.
+ Problem-solving skills and the ability to manage competing priorities and deadlines.

EDUCATION:
Required:
+ High School Diploma or GED.
EXPERIENCE:
Required:
+ 2+ years of experience administrating employee leave programs, including FMLA, ADA, and other federal/state-specific leave types.
+ 2+ years of experience in managing the end-to-end leave process, including eligibility determination, certification tracking, status updates, and return-to-work coordination.
+ Direct experience coordinating Short-Term Disability (STD) and Long-Term Disability (LTD) claims, including communication with third-party vendors.
+ Familiarity with multi-state leave laws and compliance requirements.
+ Excellent communication skills with the ability to explain complex leave policies and procedures to employees and managers.
Preferred:
+ Familiarity with Paylocity and/or Pulpstream is a plus.
+ Educating and training managers on leave policies and procedures.
LICENSES/CERTIFICATION:
Preferred:
+ PHR, aPHR, SHRM or other HR certifications are highly preferable.
Salary Description
$26.50-$31.25 DOE
