Lease Administration Sr Manager Job ID 241767 Posted 10-Oct-2025 Service line GWS Segment Role type Full-time Areas of Interest Facilities Management, Property Management Location(s) Toronto - Ontario - Canada **JOB SUMMARY** Manages delivery of contracted lease administration services for several client teams, a significant off-site portfolio or a regional office serving a large number of accounts. Establishes, implements and monitors processes to produce timely and accurate client reports and services. Manages all aspects of the client relationship. **ESSENTIAL DUTIES AND RESPONSIBILITIES** Organizes and formally supervises the work and performance of staff responsible for providing portfolio administration services for assigned clients. Collaborates with Manager to establish performance objectives for department staff and monitors and reports on accomplishments. Promotes a team environment while empowering direct reports to manage their teams. Identifies, develops, obtains leadership approval for, and implements process improvement initiatives. Communicates best practices and provides training for the lease administration management team to ensure consistent use of established practices across regions. Establishes a forum for ongoing review and refinement of methods of doing business, Sets up both Audit and Implementation SWAT teams and serves as a member of both teams as required. Conducts periodic review of leased and owned portfolios to determine risk, audit, accuracy and value. Communicates with the client on the status of their account and any relevant findings obtained during the review. Prepares detailed correspondence for clients regarding audit findings; facilitates ad hoc reports as required; monitors quality of work produced by lease administration team members. Participates in the preparation and delivery of RFPs to existing and potential clients. Provides counsel, as needed, regarding the respective client to internal staff responsible for overall presentation preparation. Participates in corporate services meetings for assigned clients, including annual meetings to review services provided, propose additional services and obtain an update from the client on the overall service being provided to them. Performs other duties as assigned. **SUPERVISORY RESPONSIBILITIES** Provides formal supervision to individual employees within single functional or operational area. Approves subordinate's recommendations for staff recruitment, selection, promotion, advancement, corrective action and termination. Effectively recommends same for direct reports to next level management for review and approval. Plans and monitors appropriate staffing levels and utilization of labor, including overtime. Prepares and delivers performance appraisal for staff. Mentors and coaches team members to further develop competencies. Leads by example and models behaviors that are consistent with the company's values. **QUALIFICATIONS** To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Experience in property management or real estate accounting preferred. **CERTIFICATES and/or LICENSES** None **COMMUNICATION SKILLS** Ability to comprehend, analyze, and interpret the most complex business documents. Ability to respond effectively to the most sensitive issues. Ability to write reports, manuals, speeches and articles using distinctive style. Ability to make effective and persuasive presentations on complex topics to employees, clients, top management and/or public groups. Ability to motivate and negotiate effectively with key employees, top management, and client groups to take desired action. **FINANCIAL KNOWLEDGE** Requires in-depth knowledge of financial terms and principles. Ability to calculate complex figures. Ability to forecast and prepare budgets. Conducts financial/business analysis including the preparation of reports. **REASONING ABILITY** Ability to solve advanced problems and deal with a variety of options in complex situations. Requires expert level analytical and quantitative skills with proven experience in developing strategic solutions for a growing matrix-based multi-industry sales environment. Draws upon the analysis of others and makes recommendations that have a direct impact on the company. **OTHER SKILLS and ABILITIES** In depth understanding of lease administration functions and services. Advanced knowledge of computer software and hardware (i.e. Microsoft Office Suite Products). Experience with desktop, graphics, and presentation software and technology. **SCOPE OF RESPONSIBILITY** Decisions made with in-depth understanding and interpretation of procedures, company policies and business practices to achieve general results. Responsible for setting department deadlines. Errors in judgment may cause long-term impact to co-workers, supervisor, department and/or line of business.
