Job Summary:\rUnder the supervision of the Outreach Supervisor or designee, performs technical and non-technical duties within the WellStar Laboratory Outreach specimen collection locations. Duties included, but not limited to, WellStar EPIC system patient registration; WellStar EPIC system insurance and ICD-10 data entry; WellStar EPIC system laboratory test order entry; Quest Laboratory and Lab Corp systems patient registration; Quest Laboratory and Lab Corp systems insurance and ICD-10 data entry; Quest Laboratory and Lab Corp systems test order entry; resolving all Customer Service problems and issues at assigned in-office phlebotomy and patient service center locations; properly preparing and packing specimens for transport to analyzing laboratory; properly and accurately performing phlebotomy specimen collection; performing Quality Assurance and maintenance checks on all equipment in accordance with CLIA and CAP guidelines; and all other duties as assigned. Responsible for leadership tasks including and not limited to managing daily on-site operations, daily communication with office personnel (office manager, MAs, & physicians), on-site training of team members, staff rotation schedule preparation, investigating and resolving lab process problems, monthly raw and statistical data collection, and maintenance of appropriate supply inventory. Local travel required.\rCore Responsibilities and Essential Functions:\r1.\tPerform Patient Registrations\ra.\tCheck all lab orders (Epic/ Manual) for accuracy (patient identification, testing and insurance), in accordance to national patient safety goals\rb.\tAccurately registers patient in Epic. Check all lab orders (electronic or manual) verifying the correct lab is chosen dependent upon patients insurance\rc.\tVerify all expected dates\rd.\tVerify accurate test information is captured in multiple registration systems (WellStar Epic System or the Quest and Lab Corp systems)\re.\tVerify that insurance is current, correct and verified in the registration system\rf.\tScan all patient information in the EPIC system (ID, insurance card, manual lab orders)\rg.\tOrder test(s) in computer system and follows special procedures for test reporting requirements. Collaborates with physician, and office staff to verify accuracy\rh.\tVerify test reports/results are sent to appropriate personnel. (Physician and/or appropriate office)\ri.\tVerify activity is recorded and performs monthly audit reports of all registrations for non-WellStar labs\rj.\tVerify all STATs are sent to laboratory within time guidelines. (Schedule all STAT pick-ups)\rk.\tPrint ABN (if required), present to patient provide verbal explanation and obtain signature\rl.\tCollect payments for SP3 (Time of Service patients) for all approved lab test. (credit card, check, money order)\r1.\tLead Responsibilities (for on-site staff located at same facility)\ra.\tCoordinate the work of the on-site POSS staff to ensure that production is consistent and\rb.\tappropriate service levels are maintained\rc.\tResponsible for daily communication with office staff (office manager, MAs, & physicians), supervisors, and interdepartmental staff, to resolve client / patient issues\rd.\tResponsible for training, coaching, and providing input on the performance evaluations of the on-site POSS staff\re.\tReview daily pending logs; researching missing results, duplicate tests, no shows, & order errors\rf.\tCover any open shifts and lunches on-site as well as the assigned site locations\rg.\tPlay in important role in the dissemination of information to on-site co-workers\rh.\tPrepares monthly workstation rotation schedule for on-site lab personnel\ri.\tResponsible for the inventory and supply order process for lab area, to include adequate stock with minimal waste due to expiration\rj.\tResponsible for ordering supplies from WellStar Lab, Quest Lab, & Lab Corp Lab and maintaining adequate inventory at all times rotate stock and discard all expired stock\rk.\tCollaborates with the Supervisor on continued process improvements\rl.\tRounding on team members in the assigned site area to provide workflow assistance or any other needs\rm.\tTeam building, assist with increasing team morale\rn.\tEscalates any issues appropriately that may arise outside of the Leads scope\ro.\tAll other duties as assigned within the scope of the position\r2.\tCustomer Service Support\ra.\tAssisting Physicians/Office staff with ordering labs in Epic correctly. (Future/ Standing/Clinic Collect orders)\rb.\tNotifying physicians, or designee, immediately of critical lab results as requested\rc.\tIf necessary, reprint any laboratory reports\rd.\tAssisting physician with any research and issue resolution\re.\tAssisting physician office staff and patients in resolving all laboratory billing issues\rf.\tMaking all follow-up phone calls to patients if re-collection of specimens is necessary\rg.\tAssists physicians and office staff in determining appropriate selection of diagnostic lab tests or test panels\rh.\tServes as liaison between the office manager and supervisors on location concerns/issues\ri.\tAssists with patient questions and concerns. Escalates any issues appropriately that may arise outside of the Leads scope\rj.\tFax lab results to Physicians as requested\rk.\tMaintain organized records and documents on site for three (3) months\r4.\tPhlebotomy / Specimen Collection/Specimen Processing\ra.\tProperly identify the patient by following the WellStar Patient Care Safety policies\rb.\tProperly perform venipunctures procedures on patients of all ages\rc.\tFollow Laboratory policies regarding hard stick situations\rd.\tProperly process all specimens according to established specimen requirements\re.\tPackage all specimens according to DOT guideline and prepare for courier pick-up by WellStar, Quest, Lab Corp, & Fed Ex couriers\rf.\tCollection and proper processing of all testing kits (Progenity, AVISE, Vectra, Natera)\rg.\tResponsible for current knowledge of test, tube and specimen requirements for WellStar, Quest and Lab Corp laboratories\rh.\tResponsible for current knowledge on collection and processing requirements of specialty testing such as GTT, Breath test and Bariatric testing\ri.\tUse proper hand hygiene in accordance to patient safety goals\r3.\tRegulatory Agencys Quality Assurance Requirements\ra.\tPerform all daily QA checks on equipment\rb.\tPerform quarterly safety inspections and prepare report of findings for tracking.\rc.\tPerform quarterly Chemical Inventory inspections and prepare report of findings to safety officer\rd.\tComplete monthly workload tallies\re.\tComplete all annual team member requirements (lab procedure review, mandatory continual education review, net learning CEUs, & employee physical examination)\rf.\tMust remain current on information regarding all CLIA and CAP requirements, in accordance to national patient safety goals.\rg.\tAttendance at all mandatory staff meetings\rPerforms other duties as assigned\rComplies with all WellStar Health System policies, standards of work, and code of conduct.\rRequired Minimum Education:\rHigh school diploma Required or\rGED Required\rRequired Minimum License(s) and Certification(s):\rAll certifications are required upon hire unless otherwise stated.Georgia Driver's LicenseBasic Life Support or BLS - Instructor\rAdditional License(s) and Certification(s):\rRequired Minimum Experience:\rMinimum 1 year computer registration skills Required and\rMinimum 1 year Customer Service experience Required and\rMinimum 1 year phlebotomy and specimen processing experience Required and\rRequired Minimum Skills:\rCustomer Service\rexcellent verbal and written communication skills\refficient and accurate computer skills\rmust be able to work and maintain professional demeanor/ gracefully maintain composure under stressful/difficult\rconditions\refficient multi-tasking and organizational skills\rmust have reliable transportation, a valid Georgia drivers license and scheduling flexibility.
