Job Title: Junior Contracts Closeout Administrator | Fully Onsite | $24-28/HR

Job Description

The Junior Contracts Closeout Administrator supports the end-to-end closeout of contracts and subcontracts in alignment with FAR/DFARS regulations and internal policies. This role focuses on reviewing documentation, tracking closeout status, coordinating with internal teams, and ensuring that contract files are complete, compliant, and audit-ready. The position is ideal for an early-career professional with strong attention to detail who is interested in government contracting, contracts administration, or procurement.

Responsibilities

Support the full lifecycle closeout process for contracts and subcontracts in accordance with FAR/DFARS and internal company policies.Review contract files to verify that all deliverables, invoices, and supporting documentation are complete prior to closeout.Track and maintain closeout status across multiple contracts using internal systems, such as Deltek Costpoint or similar ERP tools.Coordinate with internal stakeholders, including contracts, finance, procurement, and program teams, to gather required closeout documentation.Assist with de obligation of excess funds, final invoice validation, and reconciliation activities to ensure accurate financial closeout.Ensure that contract files are organized, audit-ready, and compliant with CPSR requirements and internal standards.Identify and resolve discrepancies in documentation, billing, or contract deliverables in collaboration with relevant teams.Maintain organized electronic and physical contract files, including filing, scanning, and data entry activities.Provide administrative support for compliance reviews, internal reporting, and external or internal audits related to contract closeout.Assist in developing, refining, and improving closeout processes, procedures, and templates to enhance efficiency and consistency.

Essential Skills

6 to 12+ months of experience in contracts, subcontracts, procurement, or related administrative support.Basic understanding of FAR/DFARS regulations and how they apply to government contracting and closeout processes.Proficiency with Microsoft Office tools, including Excel and Word, for data entry, reporting, and documentation.Experience using Microsoft Outlook for professional communication and coordination.Experience with SharePoint for document management and collaboration.Strong attention to detail with the ability to manage high-volume administrative workloads accurately and efficiently.Solid administrative skills, including filing, scanning, and organizing electronic and physical records.Ability to identify and resolve basic discrepancies in documentation, billing, or deliverables.Effective communication skills to coordinate with contracts, finance, procurement, and program teams.

Additional Skills & Qualifications

Bachelor\u2019s degree in Business, Finance, Contracts, or a related field, or equivalent experience.0\u20131 years of experience in contracts, subcontracts, procurement, or administrative support, preferably in a government contracting environment.Familiarity with contract lifecycle concepts from award through closeout.Experience with ERP systems such as Deltek Costpoint or similar tools is preferred.Experience working within a government contracting environment is a plus.Interest in developing deeper knowledge of FAR/DFARS regulations and contract compliance.Ability to contribute to process improvement efforts by suggesting enhancements to closeout procedures and templates.

Work Environment

The role operates in a professional office environment that relies heavily on electronic systems and organized documentation practices. You will work primarily with Microsoft Office applications, SharePoint for document management, and ERP tools such as Deltek Costpoint or similar systems to track and manage contract closeout activities. The position involves extensive computer-based work, including data entry, document review, filing, and scanning, as well as regular collaboration with contracts, finance, procurement, and program teams. Pay and Benefits

The pay range for this position is $24.04 - $28.84/hr.
