Your ‘day to day’:
• Provide support to IT Team members as needed.
• Planning, orchestrating, and executing work including coordinating team events, supporting the team with administrative activities.
• Maintaining and refining internal processes that support senior management and coordinating internal and external resources.
• Arrange meetings and follow up on actions as required to ensure the team priorities are met.
• Coordinate arrangements for team events, meetings, and employee team building activities or special projects both internally and externally.
• Prepare reports, presentations, and data, as well as maintaining files, records and Teams channels, ensuring the compliance of PMI RIM practice.
• Support the arriving of newcomers, including office space.
• Handle information requests which require finding elements from various sources and prepare ad-hoc correspondence and reports.
• Support budget process & process invoices, vendor creation, contracts and managing contractors.
• Secure the execution of the administrative duties during executive's absence in the office.
• Support project managers during project initiation, including business case preparation, budget availability, 650 form.
• Ensure project documentation is prepared, reviewed, and submitted in accordance with internal standards.
• Collaborate with other assistants to improve internal process, suggest efficiencies based on the Company goals.
Who we’re looking for:
• Proven 5+ years of experience as an executive assistant or other relevant administrative support experience working.
• A proactive approach to problem-solving with strong decision-making and organizational skills.
• Collaboration skills.
• Ability to prioritize and meet deadlines in a fast-paced quickly changing environment.
• Strong time-management skills and the ability to coordinate multiple projects at once.
• Project management certification is preferred.
• Professional level of verbal and written communications skills.
• In-depth understanding of the entire MS Office suite and virtual work tools.
• Bachelor’s Degree is preferred.
• Legally authorized to work in the U.S.
Annual Base Salary Range: $74,250 - $99,000
