About The Role:As an IP Operations Analyst, you will be a strategic contributor to the Intellectual Property legal team’s operational excellence by designing and optimizing processes and tools that enable scalable, efficient IP management. Building streamlined workflows through close collaboration with the IP team and other functions you will align IP operations with business needs and continually improve the department's ability to efficiently build a strong IP portfolio. Your day-to-day work will be deeply collaborative, balancing technical system ownership with the practical needs of legal, IT, and business partners.
Primary Responsibilities:Serve as the primary system administrator of the IP management platform, supporting day-to-day IP operations and acting as the main point of contact for system-related activities, including provisioning user access, overseeing workflow functionality, and resolving issues via support ticket management.Collaborate with in-house attorneys, and the Outside Counsel Governance Committee to review AFAs, forecast and monitor spend against budget, support rate negotiations, and benchmark fees to optimize outside counsel costs and vendor relationships.Lead patent annuities workstreams, including coordinating with external vendors, ensuring accurate and timely payments, and forecasting to support budget planning. Proactively improve the IP department’s current tools, processes, and workflows to drive productivity.Identify and incorporate technology solutions (including AI) to automate and streamline repeatable workflows, with an eye to improving operational efficiencies.Provide orientation and training to end users for all modified and new systems, tools, and applications.Collaborate with IT, finance, legal operations, partners to ensure alignment and successful implementation of initiativesEnsure vendor compliance with the departmental billing guidelines and accuracy of billing for IP tools and subscription-related invoices.Education and ExperienceEducation Bachelor’s degree in business administration or management information systems and 4+ years of related work experience.Patent prosecution experience using electronic IP management systems and experience in IP operations.Knowledge & ExperienceStrong track record of design, development, procurement and implementation of IP software, technology, and associated workflows.Extensive practical knowledge in Microsoft Office tools, including importing data for use in reports, spreadsheets, graphs, and flow charts.Solid understanding and experience using legal software applications, including IP Management Software, Salesforce, and e-billing systems.Demonstrated project management skills; Lean Six Sigma or other project management certification preferred.QualificationsStrong analytical and problem-solving skills with an ability to identify issues, develop creative solutions, and learn quickly.Excellent listening and interpersonal skills.Ability to communicate ideas in both technical and user-friendly language.Able to work independently, as well as collaborate and establish relationships with colleagues in remote offices.Highly organized and detailed oriented with accurate data entry, proofreading, and reading comprehension skills.Flexibility to work overtime with minimum travel.
