IP Coordinator II
Responsibilities JOB SUMMARY As an IP Coordinator II, you'll support Industrial Properties with business process, tools, and information. You'll work with IP Operations to centralize administrative work, support the training program, and maintain data and documentation. KEY RESPONSIBILITY & ESSENTIAL FUNCTIONS - Run reports and provide specific operational information needed for IP leaders to manage and monitor their business. - Travels to help conduct physical onsite audits for industrial campuses across the state to ensure accurate asset and part catalogue data. - Support routine CMMS system audits to ensure defined process adherence and data integrity. - Centralize administrative work, including process invoices, create needed P.O.s - Run reports and provide specific operational information needed for IP leaders to manage and monitor their business. - Conduct period and quarter level scorecards and business updates for all IP teams. - Assist IP Analysts with gathering information to support ad-hoc IP information requests. - Assist with and/or conducting training on end user system functionality and business processes. - Collaborate with IP business leaders and SMEs for creating SOP playbooks for each IP team. - Create and maintain training documentation such as visual training aids (VTAs) and process flow diagrams. - Assist with the creation and administration of the IP document management processes. - Assist Planning & Advance scheduling team with standard storage of mini-files and other relevant maintenance information to support job plan creation. - Process requisitions and purchase orders to support the Storeroom inventory management process. - Assist with monitoring stock part inventory levels using pre-defined processes and tools. - Process invoices to ensure proper accounting and payment terms are met. - Execute predefined activities to correct/clean CMMS data to ensure data integrity. - Assist with the creation of the staging/kitting requirements for work orders. - Assist Supply Chain Sourcing in setting up and maintaining Supply Chain items in Marketplace. - Travels to support CMMS rollout in new facilities and expansions by intaking, scrubbing, and physically validating asset & part data and validating with physical inspection. - Create initial asset & parts tags in support of major capital projects. - Create of standard asset maps for each location. - Manage IP assets like iPADS & printers to support the Industrial Maintenance Program. QUALIFICATIONS & KEY REQUIREMENTS Intermediate support individual contributor position performing administrative or specialized tasks in support of daily business activities. Works under moderate supervision on mostly routine tasks but may deviate from or interpret standard procedures based on knowledge gained through learned experience. High school, vocational, or associate's degree. 2+ years of experience generally expected. - A related degree, training, certification, or work experience preferred. - 2+ years of relevant experience preferred - Training experience is a plus. - Storeroom inventory management experience is a plus. - Design, construction, maintenance, and automation experience are a plus. - Project management experience is a plus. - Process improvement and/or continuous improvement experience is a plus. - Attention to detail. - Time management skills. - Ability to handle multiple priorities and shift between projects as needed. - Intermediate MS Office Suite skills. - Good written/verbal communications skills. - Demonstrate initiative and willingness to learn.
