INTERNSHIP – Office Management Trainee (e/v/e/r/y/o/n/e)

Overview This is a full-time, on-site role as an Office Management Trainee at Publicis Groupe Switzerland in Lausanne, Switzerland. The role involves daily tasks related to operations management, customer service, communication, and utilizing analytical skills to support efficient office operations. Duration: 6 months (starting end of August or early September 2025, 100% - 40h/week) Are you a master multitasker with a flair for organization and a passion for delivering top-notch customer service? Responsibilities As our Office Management Trainee, you will be: The smiling face that greets clients The office ninja-in-training The superhero in sneakers who keeps our workplace running smoothly The dynamic team player always ready for a new challenge—with a touch of fun! Management of office operations and coordination between departments to ensure satisfactory and efficient utilization of office utilities: Front desk organization Handle internal/external calls and mail, take messages Welcome and assist visitors Manage mailings and deliveries Office coordination Schedule and prepare meeting rooms Provide materials and refreshments for client meetings Assist in organizing conferences, business lunches, and internal events Management of external service providers Liaise with the landlord regarding office maintenance and repairs Supervise cleaning providers and ensure overall office cleanliness and order Oversee office supplies and facilities (printers, coffee/water/snacks, AV equipment) Organize recycling of office materials and disposal of confidential waste Office furniture and fittings Examine daily and ensure the satisfactory condition of furniture and fittings Supervise office layout and placement of furniture and fittings Review and validate furniture, fittings, and upgrade requirements Manage supplies of furniture and fittings Office administration Liaise with the Finance department Review and validate agency invoices related to office management Manage the Group Travel Tool and invoicing system Additional tasks or responsibilities may be assigned throughout the internship, depending on the needs of the team. Qualifications Student in Hospitality and Event Management or Communications Fluent in English and French; proficiency in additional languages (German, Italian, etc.) is a plus Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint) Strong communication and client service skills Reliable, well-organized, punctual, and detail-oriented Professional appearance, discreet attitude, and a positive, enthusiastic personality Capable of multitasking and prioritizing effectively in a dynamic environment Additional information Is this role a fit?
