Intake Coordinator

Job description: The Intake Coordinator is responsible for managing the intake process for the Land Rights Team’s projects and/or inquiry requests. This involves handling communications through various platforms, such as SAP, Outlook, and Salesforce, ensuring all requests are accurately documented, prioritized, and tracked. The Intake Coordinator collaborates closely with the Land Rights team and Functional Areas to gather and clarify requirements before routing them to the appropriate Land Rights team members. The role also includes tracking the status of requests, ensuring timely follow-up and resolution, and helping to streamline processes. The goal is to ensure all requests align with the Land Rights team’s objectives and priorities, ensuring seamless project and service deliveries.

Scope of work:
Supporting the Land Rights workstreams with the intake process. Ensuring that new relocation projects or requests are reviewed and assigned in Salesforce within 48 hours of receiving the email notification. If there’s a question regarding a project/request or clarification is needed to determine if a project/request needs to be assigned to a Land Agent, an email or a meeting should be scheduled in a timely manner with the Land Rights Supervisor to accurately determine the project/request.

Primary duties and responsibilities:

Manage intake whether it be by an email notification or email distribution inbox. Determine if a notification is a Utility Relocation request, Liability Determination or Determination of Rights. There might be instances where a different Support Type might be needed; this can come at the direction of the Land Rights Supervisor. Ensure that the job aids and instructions created for the intake process are being followed. Communicate with Land Rights Supervisor and/or Land Agents, as needed. Ensure Salesforces Records are cratered within 48 hours of receiving the notification/request. Add supporting documentation, provided or available in SAP, to the Salesforce record. Add notes in the Comment section in SAP. Help create Salesforce Reports and Dashboards. Provide feedback and input to improve the process.

This is a hybrid role that will require quarterly meetings in San Ramon or Sacramento office

 

Required Qualifications:

2-3 years’ experience in Project Management, or a related field, or equivalent experience. Experience in project coordination, land rights, utility relocation, or a related field.

Knowledge and skills:

Demonstrate strong proficiency in Microsoft Outlook, Word, Excel, and Teams. Harness experience with SAP and Salesforce. Exhibit strong problem-solving and analytical skills. Apply basic knowledge of database management and tracking systems. Communicate effectively with various teams using strong interpersonal skills. Organize and manage time efficiently with excellent organizational skills. Initiate tasks and projects with self-motivation.

Benefits & Salary:

This position pays between $81,250-$102,400 annually and is an exempt position. Benefits offered include company sponsored medical, dental, vision, and 401(k) plan with company match. Also offered are tuition reimbursement, voluntary life, disability, critical illness, accident and hospitalization plans. HSA or FSA medical accounts and FSA dependent care and transportation/parking accounts are also available. These benefits are subject to employee contribution amounts generally set annually. Full time employees are eligible to earn PTO hours. May be eligible for discretionary bonus as determined by the company.
