THE ROLE
Insomniac Events is looking for a warm, organized, and highly dependable Receptionist to be the face of our Calabasas headquarters. This role is responsible for creating a welcoming environment for guests, supporting employees with administrative needs, and ensuring the front office operates smoothly. You’ll also play a key part in coordinating small-scale employee engagement events and supporting our facilities operations team with daily tasks.
RESPONSIBILITIES
Front Desk & Guest Experience:
+ Greet and welcome guests and visitors; ensure a friendly, professional reception experience
+ Answer, screen, and forward incoming phone calls promptly and courteously
+ Maintain cleanliness and presentation of the reception area, front entrance, and lobby
+ Provide accurate, basic information in person and via phone/email
+ Monitor and maintain office access and security from the reception desk
+ Track guests, ensure sign-in compliance, and monitor visitor access
Mail, Deliveries & Shipping:
+ Receive, sort, and distribute daily mail, food, and other deliveries
+ Assist with outgoing shipments, including labeling and scheduling domestic pickups
Conference & Calendar Support:
+ Book and manage the conference room schedule to avoid conflicts
+ Assist with hospitality setup and reset for meetings as needed
Operational Support:
+ Monitor and respond to the shared group email account
+ Manage supply requests (e.g., monitor stands, keyboards) from existing inventory
+ Facilitate car wash service sign-ups and coordination
+ Provide general HR administrative support as needed
+ Assist with quarterly HR events and other employee engagement initiatives
Other Duties:
+ Perform clerical and receptionist duties as needed
+ Partner with facilities and operations team on other tasks and errands
QUALIFICATIONS
+ Proven work experience as a Facilities Assistant, Receptionist, Front Office Representative, or similar role
+ Extensive customer service experience
+ Proficiency with Microsoft Office Suite and Google Suite
+ Self-Starter and Go-Getter
+ Hands-on experience with office equipment (e.g. fax machines and printers)
+ Professional attitude and appearance
+ Solid written and verbal communication skills
+ Ability to be resourceful and proactive when issues arise
+ Excellent organizational skills
+ Multitasking and time-management skills, with the ability to prioritize tasks
+ Willingness to perform physical labor (lifting boxes, moving chairs, etc.)
+ Customer service attitude
WORK ENVIRONMENT
+ Must be able to tolerate loud noise levels and busy environments
+ May work in drastic temperature climates
+ May travel to work during evening and weekend hours, as required, to meet deadlines

Hourly Pay Range: $18.00 - $21.00 USD
