Job Title: Import Coordinator
Job Description

The Import Coordinator supports the import logistics process from documentation review through delivery and billing. This role ensures accurate data entry, timely tracking of freight, effective communication with service providers, and strong internal and external customer service. The Import Coordinator contributes directly to efficient operations and profitable shipments by coordinating deliveries, resolving discrepancies, and maintaining accurate information in logistics systems.

ResponsibilitiesReview import documentation and identify all pertinent information required for processing shipments.Perform piece count reconciliation to confirm shipment accuracy against documentation.Enter shipment, customer, and billing information accurately into internal systems, including Cargowise.Look up and update arrival notice information to ensure all parties have current status details.Trace freight as needed to confirm location, status, and estimated delivery times.Assist with updating and cleaning up Cargowise system filters to maintain accurate and efficient data management.Create Delivery Orders and Delivery Instructions as needed to support timely and accurate deliveries.Obtain quotes from truckers, warehouses, and related service providers to support shipment planning and cost control.Identify and secure the necessary equipment for deliveries in coordination with service providers.Work to maximize profit margins for the department while maintaining service quality.Obtain Proof of Delivery and ensure it is properly documented and filed.Obtain delivery charges, reconcile any disputed charges, and support accurate invoicing.Support Import Customer Service Representatives with daily functions and operational tasks as needed.Provide responsive customer service via email and phone, shifting communication methods appropriately based on the situation.Assist with general administrative support related to import operations, documentation, and order entry.Essential SkillsExperience with import logistics processes and documentation.Ability to accurately determine pertinent parts of import documentation, including bills of lading and related documents.Strong data entry skills with high attention to detail and accuracy.Proficiency in Microsoft Office and Microsoft systems, including Outlook for email communication.Ability to perform order entry, dispatch-related tasks, and invoicing support in a logistics or freight environment.Customer service skills with the ability to communicate clearly and professionally via email and phone.Ability to trace freight and interpret shipment status information.Administrative support skills within a logistics, freight forwarding, or similar environment.Additional Skills & QualificationsProfessional appearance and demeanor with a positive, service-oriented attitude.Excellent verbal and written communication skills.Strong critical thinking skills and the ability to identify problems and propose possible solutions.Receptive to receiving instructions and feedback, with the ability to follow through on shipment matters.Ability to shift tasks and priorities without frustration in a fast-paced environment.Demonstrated ability to follow up and follow through until issues are resolved.Team player who willingly assists where needed, including without being asked.Self-starter and “go-getter” with a proactive approach to work.Judgment to know when to move from email communication to a phone call for more effective resolution.Promotable mindset with a desire to grow and take on additional responsibilities over time.Experience working with freight forwarders, logistics providers, and related service partners is beneficial.Work Environment

This role is 100% onsite in an office-based environment. The Import Coordinator works with logistics and freight-related systems, including Cargowise and Microsoft Office tools such as Outlook, to manage documentation, communication, and shipment information. The position involves frequent interaction with internal teams, customers, truckers, warehouses, and other service providers by email and phone. Job Type & Location

This is a Contract to Hire position based out of Cordova, TN.

Pay and Benefits

The pay range for this position is $22.00 - $22.00/hr.
