Immersion Vanderbilt Funding Program Coordinator

Position Summary
Immersion Vanderbilt seeks a dedicated, creative, intellectually curious, and team-oriented candidate to provide advising to undergraduate students about Immersion Vanderbilt funding and deliver programmatic support for the Immersion Vanderbilt office. Immersion Vanderbilt requires each undergraduate student to participate in an immersive experience that occurs in and beyond the classroom and culminates in a final project. The program involves campus-wide collaboration across all schools and colleges. The Immersion Vanderbilt office coordinates efforts across campus, providing centralized support and communication to ensure students and faculty have the resources they need.
Key responsibilities include, but are not limited to, providing funding and grant application guidance to students and serving as a point of contact for campus partners; developing expertise about experiential learning funding options; hosting group and individual advising sessions; and supporting students, faculty, and staff with the funding application processes managed by Immersion Vanderbilt. The position will collaborate with faculty, staff, colleges and schools, campus partner offices, and external partners in support of experiential learning and the Immersion Vanderbilt mission.

Immersion Vanderbilt provides a unique opportunity for Vanderbilt students to pursue their interests through a hands-on, mentored experience inside and outside the classroom. Immersion Vanderbilt culminates with a tangible final project, such as a work of art, an op-ed piece in a newspaper, a thesis, a web app, a musical performance, or a prototype among many other products. This work unit facilitates these transformative student experiences, supporting learners as they engage with mentors, apply classroom knowledge, and create novel products that demonstrate their learning and contributions. The office plays a vital role in providing Vanderbilt students with unparalleled opportunities for experiential learning, personal growth, and real-world impact.
Through Immersion Vanderbilt, students can explore diverse experiential learning pathways such as study abroad; internships; civic and community engagement; research; innovation, arts and design; and leadership and professional development.

Key Functions and Expected Performance

Develop and maintain expertise in key software and processes used to support Immersion Vanderbilt funding application processes, working with the software vendors and key partners including Process and Solution Implementation (PSI), Office of Student Financial Aid (OSFA), and Office of Student Accounts as needed for training, feature updates, and issue resolution Support the full lifecycle of the funding application process, including: Preparing application forms Soliciting faculty and staff reviewers, as appropriate Tracking application tasks using established processes and software Reporting on application numbers as needed Coordinate with other Immersion Vanderbilt staff, organize and facilitate funding workshops and advise undergraduate students and faculty/staff grant applicants Assist with recruiting and managing reviewers for application cycles, as necessary, including distributing, collecting, and summarizing results of application reviews Track funding applicants’ completion of requirements and submission of documents necessary for funding disbursement; coordinate with campus partners and office staff to process necessary changes to experiential units or projects Collaborate with campus partners offering student funding opportunities to establish clear funding processes and identify areas for improved funding access and efficiency. Work with Immersion Vanderbilt leadership, OSFA, and the Office of the Provost’s financial leadership team to forecast funding and awards Support financial awards processes in collaboration with unit staff and partner offices such as OSFA and the Office of Student Accounts Identify and promote compelling student and faculty stories related to funding with leadership and campus partners Coordinate with office leadership to ensure timely and accurate communication about Immersion Vanderbilt funding Respond to inquiries from students, faculty, staff, and other stakeholders regarding Immersion Vanderbilt funding opportunities and related information Ensure meticulous attention to detail and compliance with Vanderbilt University policies and guidelines Monitor dedicated Immersion Vanderbilt funding email inbox, responding to and triaging emails as appropriate Apply critical thinking as needed within scope of responsibilities, research issues/questions related to student funding, and communicate information to leadership in a timely and effective manner Other duties as assigned

Supervisory Relationships
This position has no supervisory responsibilities and reports both administratively and functionally to the Associate Director of Immersion Vanderbilt.


Education and Certifications

Bachelor’s degree from an accredited institution of higher education is required. Master’s degree from an accredited institution of higher education is preferred. 1-3 years relevant experience preferred.


Experience and Skills

Experience advising or teaching undergraduate students is required. Experience working with faculty is required. Strong interpersonal skills and the ability to engage effectively with students are required. Self-motivation and a positive, professional approach are required. Ability to work independently and collaboratively as part of a team is required. Ability to work occasional evenings and weekends is required. Knowledge of experiential learning pedagogy is preferred.
