Summary: IDOC is currently accepting applications for a Policy Program Coordinator who will proactively develop, maintain, facilitate, monitor and coordinate policy (and related documents, hereafter referred to as policies) for the department. The successful candidate will provide technical assistance to IDOC staff (including leadership, policy workgroups, and subject matter experts) in the development of policy, be responsible for updating policy and collaboratively tracking/reporting progress, coordinating IDOC staff and input, as well as serving as an advisor to IDOC staff. Responsibilities: + Lead all aspects of policy development; manage, review, edit, draft, store, post, and promulgate policies + Track and proactively manage IDOC staff progress to include frequent collaboration/ check-ins driving towards timely completion + Own and track policies promulgation progress and provide real-time visibility to IDOC staff + Routinely communicate, update, and follow up/through with IDOC staff in areas such as progress, timelines, roadblocks, next steps, etc. + Serve as an advisor by providing policy recommendations and solving/coordinating responses to IDOC staff needs. + Evaluate and recommend policies process improvements to include efficiencies and automation + Promote, educate, and inform IDOC staff on policies processes and/or changes + Monitor proposed and updated state and federal legislation that affect IDOC policies and identify affected policies and recommend updates. + Define, implement, and track a routine policy schedule for reviews, updates, IDOC staff needs, and/or as new legislation and related is passed or adjusted + Research policy trends and needs then provide recommendations. + Track the implementation and effectiveness of policies. Minimum Qualifications: + Some knowledge of management practices. This is typically gained by at least one year of work experience that included all the essential elements of management (planning, organizing, leading, and controlling); OR completion of two upper division college-level courses; OR 60 hours of management training that included all the essential elements of management AND six months of work experience performing all the elements of management. + Experience developing and monitoring policies and procedures. This is typically gained by at least one year of work experience that included all the essential elements of management (planning, organizing, leading, and controlling); OR completion of two upper division college-level courses; OR 60 hours of management training that included all the essential elements of management AND six months of work experience performing all the elements of management. + Experience assessing department/program needs. Typically gained by at least one year of experience assessing department or program needs. Desirable Qualifications: + Experience managing a policy program in a large organization + Ability to speak effectively and convincingly; prepare complete, accurate and comprehensive reports and recommendations + Coordinate policy functions and activities between/across leadership, policy workgroups, and/or subject matter experts + Experience with Laserfiche + Experience with policy databases + Experience assessing and implementing policy process improvements to include automation development + Experience and proven ability managing multiple projects simultaneously and proactively engaging others to meet deadlines.
