Please refer to Application Submission section below. The Idaho College Savings Program is seeking a Management Assistant for the Idaho College Savings Program. This announcement will be used to fill a non-classified position located at the Treasurer’s Office in Boise, ID. General Information: This is a full-time position that will provide assistance to the Idaho 529 College Savings program Executive Director, Program Manager and Board. This position offers a person the opportunity to work with participants within the State of Idaho, the State College Savings Board, Idaho State Treasurer’s Office, and outside vendors assisting in the management of the program. This position will perform a variety of marketing and administrative duties that enable management or administrators to function more effectively. In addition to creating marketing and social media plans and assets, the Ideal candidate will be self-motivated, customer service-oriented, creative, able to work alone and on a team, and have excellent social media skills. This person needs to thrive on working in a fast-paced environment and be able to meet deadlines. Example of Duties: + Create, execute, and manage marketing collateral such as flyers, social media posts and plans, ads, and more in various formats and monitor organization’s social media channels. + Create newsletters and send newsletters using Constant Contact. + Submit invoices for payment with the required paperwork, and manage record keeping for those invoices and payments. + Manage scholarship programs, which includes organizing and communicating with sponsors and scholarship recipients, invoicing sponsors, preparing tax paperwork, assisting with opening of IDeal accounts, and processing the funding for those accounts. + Register, occasionally attend, and manage logistics and materials for presentations, trade shows, conferences and other program events in coordination with staff. + Assist with tracking to do items related to sponsorships, contracts, events and more. + Communicate and manage the awarding of contributions to IDeal accounts from IDeal contests and promotions. + Maintain inventory levels of promotional items, including conducting price comparisons and ordering necessary items. + Assist with the preparation of presentation materials for the State College Savings Board, Legislature, and other stakeholders including agendas, legal notices of scheduled meetings and other meeting materials. + Other duties as assigned. Essential knowledge, skills and abilities (competencies): + Knowledge of and ability to interpret state and federal laws and regulations that relate to 529 college savings laws. + Skilled in Microsoft Office software, (especially Excel, Word, and PowerPoint), Vista Create (Crello), Constant Contact, and Loomly. + Skilled in composing social media posts, a variety of business documents, and gathering and compiling data as well as producing videos for social media like YouTube and Instagram Reels. + Strong skills in managing multiple projects including funding sources, tracking timelines and monitoring complex follow-up activities. + Experience composing and proofreading business, training, and technical documents. + Excellent verbal and written communication skills required. + Experience accessing data using a computerized system and maintaining a complex records system. + Superior communication and human relations skills. + Possess strong organizational skills, ability to work independently, and ability to balance the workload for multiple and often time-sensitive responsibilities. + Able to maintain confidentiality and follow security practices. Required Education: High School diploma required, bachelor’s degree in marketing or related field preferred. Related work experience in lieu of degree will be considered. Required Experience: Interpreting, applying and explaining complex information such as regulations, policies or services; independently solving problems/performing liaison activities in a work setting; coordinating activities requiring complex arrangements; maintaining financial record keeping; composing official correspondence. Working Environment and Physical Demands: Work is performed mostly indoors in a professional office setting. At times it is required to work outdoors or at outside venues at events to promote the IDeal – Idaho College Savings Program. Must be able to lift 30lbs. Must be willing to work occasional evenings and weekends as needed to support organizational led events. Preferred Qualifications: Bi-lingual in English and Spanish preferred.
