HVAC Dispatcher
Dispatcher (HVAC)

Location: Bohemia, NY

Compensation: $25.00–$35.00/hour (based on experience)

Work Schedule: Monday–Friday, 8:00 AM–4:30 PM (Onsite)

On-Call Rotation: Once every 5 weeks (Thursday–Wednesday, 24/7)

Additional On-Call Compensation: $250 per rotation

Position Overview

The Dispatcher is responsible for coordinating and scheduling HVAC service technicians for installation, maintenance, and repair calls while delivering a high level of customer service. This role plays a key part in daily operations by managing technician schedules, serving as a primary point of contact for customers, and supporting service leadership with administrative and reporting tasks in a fast-paced office environment.

Key ResponsibilitiesSchedule and dispatch HVAC service technicians for installation, maintenance, and repair servicesCommunicate with customers to confirm appointments, provide status updates, and respond to inbound service requestsCoordinate technician schedules based on availability, skill set, job priority, and locationMonitor service calls throughout the day and make real-time adjustments for emergencies, delays, or cancellationsAccurately enter and maintain job details, service notes, and records within the company systemSupport service managers with daily reporting, job tracking, and administrative tasksProcess work orders, invoices, and required service documentationConduct customer follow-ups after service completion as neededMaintain professionalism and excellent customer service in all phone, email, and in-person interactionsCollaborate closely with technicians and office staff to ensure smooth daily operationsRequired QualificationsPrior dispatcher or scheduling experience, preferably in HVAC, construction, plumbing, or skilled tradesStrong customer service skills with experience handling inbound callsProficient data entry skills with strong attention to detailProficiency with Microsoft Outlook and ExcelExperience using CRM or ERP systems for scheduling and job trackingExcellent verbal communication and phone etiquetteStrong organizational and time management skillsAbility to multitask and remain calm in a fast-paced, dynamic environmentPreferred QualificationsHVAC service dispatch experienceExperience with Sampro or similar service-industry ERP/CRM platformsStrong written communication skillsAdministrative support experience in a service-based officeWork Environment

This is a fully onsite role based in Bohemia, NY. You will work alongside approximately 16 office staff and support a field team of 11 HVAC technicians as part of a core 6-person office team. The work environment is fast-paced and collaborative, requiring frequent communication with both customers and field technicians throughout the day.

Job Type & Location

This is a Contract to Hire position based out of Bohemia, NY.

Pay and Benefits

The pay range for this position is $25.00 - $35.00/hr.
