About the Role Malin’s Human Resources Coordinator plays a key role in delivering an exceptional employee experience from the moment of offer acceptance through the entire employee lifecycle. You’ll work within a collaborative, tight-knit team of people professionals and be responsible for supporting a variety of human resources functions—including orientation, onboarding, benefits, employee programs, engagement, and core HR administration. Key Responsibilities Orientation * Coordinate pre-hire logistics including communication with internal departments, IT set-up, and new hire accounts. * Deliver engaging, comprehensive Day 1 orientation sessions, introducing new employees to our company culture, values, and tools. Onboarding * Oversee onboarding workflows, ensuring all tasks and access are completed on schedule. * Ensure compliance with I-9 documentation and legal standards for all new hires. Benefits & Employee Programs * Guide new hires through benefits offerings and enrollment timelines. * Support employees with annual enrollment and life event changes. * Respond to benefits-related inquiries and troubleshoot online portal navigation. * Maintain accurate benefit enrollment reports and administer employee-facing program portals (e.g., apparel, safety shoes). Employee Relations & Engagement * Manage the HR helpdesk, responding to a wide range of employee inquiries related to policies, payroll, systems, and processes. * Promote engagement by supporting employee events, being present across different locations, and fostering positive communication. * Assist the HR Business Partner with managing and tracking leave of absence requests, ensuring compliance with company policy and legal requirements. * Support employee lifecycle events including status changes, separations, and performance/development conversations. * Ensure HR documentation, E-Verify, and employee records are up to date and confidential. * Collaborate with Payroll and managers to review and maintain accurate timecard data. Other Duties * Support ongoing HR projects and perform additional tasks as needed to contribute to the team's success. Qualifications * Associate’s degree in Human Resources or a related field preferred; equivalent experience may be considered. * Minimum 3 years of experience in an HR Coordinator, HR Specialist, or HR Representative role. * Customer service experience strongly preferred; must demonstrate a people-first mindset and commitment to service excellence. * Familiarity with explaining employee benefits to current employees is preferred. Knowledge, Skills & Abilities * Solid understanding of employment law, HR compliance, and records management. * Highly organized with strong attention to detail and the ability to manage multiple priorities. * Strong sense of discretion and ability to maintain confidentiality in sensitive matters. * Experience supporting leave of absence processes and compliance is a plus. * Proven ability to identify problems, analyze issues, and develop practical solutions. * Excellent interpersonal and written communication skills; warm and professional tone across all communication channels. * Technically adept with experience using HRIS systems, Excel, and Microsoft 365 (Outlook, Teams, Word). * Demonstrated ability to build positive, trusting relationships across all levels of the organization.
