Human Resources Coordinator
Job Title: Human Resources CoordinatorJob Description The Human Resources Coordinator plays a critical role in supporting employees and leaders across multiple service centers. This position serves as a trusted HR partner, ensuring a smooth onboarding experience, accurate and timely workers’ compensation administration, and responsive day-to-day employee support. Responsibilities + Manage the full-cycle onboarding process from offer acceptance through the first 90 days. + Initiate and track onboarding workflows within Paylocity, including new hire paperwork, I-9 verification, E-Verify compliance, direct deposit and tax forms, and benefits enrollment coordination. + Partner with hiring managers to ensure new hires have required tools, system access, and training. + Conduct new hire orientation, both virtual and in-person. + Monitor onboarding metrics and ensure timely completion of required documentation. + Support background checks and pre-employment screenings. + Serve as the primary point of contact for all workers’ compensation claims. + File First Reports of Injury (FROI) in a timely and compliant manner. + Coordinate with insurance carriers, adjusters, and leadership. + Track claim status, return-to-work documentation, and medical restrictions. + Support modified duty and return-to-work programs. + Maintain accurate documentation and ensure OSHA log updates when required. + Partner with Safety and Operations leaders to identify trends and reduce incidents. + Serve as the first point of contact for employee HR inquiries. + Provide guidance on policies, benefits, payroll questions, timekeeping, PTO, and compliance matters. + Assist leaders with employee relations matters and documentation. + Maintain accurate employee records in Paylocity. + Support payroll processing by auditing changes and resolving discrepancies. + Ensure compliance with federal, state, and local employment laws. + Assist with performance management processes and documentation. + Support employee engagement initiatives and company programs. Essential Skills + 3+ years of HR experience as a coordinator or specialist. + Proficiency with HRIS systems, particularly Paylocity. + Strong working knowledge of workers' compensation processes. + General understanding of HR policies around I-9, FLSA, and OSHA basics. + Proficiency in Microsoft Word and Excel, including pivot tables. + Experience with Leave of Absence Administration. + Experience with Benefits Administration. + Familiarity with LMS and HR Reporting. + Strong communication skills and attention to detail. Additional Skills & Qualifications + Experience in a fast-paced, multi-location environment. + Ability to manage sensitive information with professionalism and confidentiality. + Passion for delivering a positive employee experience. Work Environment The position is 100% onsite with a possibility to move to a hybrid model in the future. Hours are 8-5 with some flexibility. The role is a temporary position covering for a leave expected to last at least four months. The team works cross-functionally, requiring a team player willing to support multiple departments and pick up slack when needed. Job Type & Location This is a Contract position based out of Irvine, CA. Pay and Benefits The pay range for this position is $27.00 - $28.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
