Human Resources Administrative Assistant
Job Title: Human Resources Administrative AssistantJob Description The Human Resources Administrative Assistant will provide hands-on administrative and operational support to the HR team, with a primary focus on managing day-to-day HR tasks and employee requests. This role takes ownership of entry-level and administrative HR responsibilities so HR leadership can focus on strategic initiatives, compliance, and employee relations. It is well-suited for someone early in their HR career who is comfortable with detailed administrative work, shows strong initiative, and can operate independently in a fast-paced, practical environment. Responsibilities + Maintain and update employee personnel files, HR systems, and documentation with a high level of accuracy, organization, and confidentiality. + Handle routine employee inquiries and administrative HR requests independently, providing timely and professional responses and escalating issues when appropriate. + Support recruiting activities by coordinating interviews, communicating with candidates, and completing reference checks. + Support onboarding activities by preparing new-hire paperwork, scheduling orientations, assisting with new-hire setup, and coordinating safety gear and other initial requirements. + Track and maintain employee training records, certifications, and compliance documentation to ensure all state, federal, and company requirements are met. + Prepare and support HR reporting related to training, compliance, and other HR metrics as needed. + Independently complete tasks that require coordination across departments and locations, such as collecting signatures, gathering HR paperwork, and distributing HR materials without daily supervision. + Assist with seasonal workforce administration, including coordination with staffing agencies to support hiring and scheduling needs. + Support internal HR programs such as employee recognition, milestone tracking, and other engagement initiatives. + Partner closely with HR leadership to reduce administrative workload and support the smooth onboarding and integration of a new HR Manager. + Contribute to stabilizing HR operations during periods of transition by taking ownership of core administrative processes and following through on tasks to completion. Essential Skills + Experience providing administrative support in a human resources or office environment, with the ability to handle multiple tasks and priorities. + Demonstrated ability to maintain accurate records, files, and documentation while protecting sensitive and confidential information. + Customer service mindset with the ability to respond professionally and promptly to employee questions and requests. + Proficiency with Microsoft Office tools, including Outlook, Word, and Excel, to manage documents, schedules, and basic reporting. + Experience supporting onboarding and recruiting processes, such as interview scheduling, reference checks, and paperwork preparation. + Ability to track training, certifications, and compliance documentation and to follow up to ensure requirements are met. + Comfort working independently with minimal supervision, taking initiative to move tasks forward and resolve routine issues. + Strong organizational skills and attention to detail in a fast-paced environment. + Clear, professional verbal and written communication skills for interacting with employees, candidates, and internal stakeholders. Additional Skills & Qualifications + Human resources administration experience or coursework that demonstrates interest in an HR career path. + Spanish bilingual skills, enabling effective communication with a broader range of employees and candidates. + Experience working with staffing agencies or supporting seasonal workforce administration. + Exposure to HR programs such as employee recognition, engagement initiatives, or milestone tracking. + Interest in growing into an HR Generalist role and gaining broad, practical HR experience in a manufacturing setting. + Ability to build collaborative relationships with HR leadership and cross-functional teams. Work Environment This is an on-site, full-time role based at a manufacturing location, working as part of a small, hands-on HR team. The schedule follows a stable Monday–Friday workweek, with some flexibility in start and end times as long as HR coverage aligns with production hours. The environment is fast-paced and practical, offering close collaboration with HR leadership and direct interaction with employees across the facility. The role provides the opportunity to make an immediate and visible impact by helping reduce workload strain, support HR operations during a key transition period, and contribute to a supportive and collaborative team culture. Job Type & Location This is a Permanent position based out of Aurora, Oregon.
