HR Solutions Specialist

The HR Solutions Specialist will play a key role in managing a high volume of HR inquiries from managers and associates via the HR Inbox. This position focuses on delivering timely, accurate resolutions by applying established policies and procedures, while escalating complex issues to the appropriate teams as needed. This person is responsible for providing efficient solutions, researching answers when required, and engaging with key vendors to improve processes and service outcomes. In addition, this role supports HR projects and initiatives that drive continuous improvement and enhance the overall associate experience.
The day-to-day responsibilities include the following:
• Triage and resolve high-volume HR inquiries via inbox/ticketing system in line with SLAs.
• Escalate more complex issues and inquiries to functional HR teams as needed.
• Manage core HR administration tasks, including maintaining employee records, updating HRIS data, and ensuring accuracy and confidentiality of HR documentation.
• Stay current on company policies to provide accurate guidance to employees and managers.
• Maintain confidentiality and integrity of HR files and records.
• Manage vendor relationships and processes, including coordination, tracking, and issue resolution, to ensure timely and accurate delivery of HR services.
• Ensure organizational compliance with labor law posting requirements by managing, updating, and distributing mandatory workplace posters across all locations.
• Manage the background check process from initiation to adjudication, ensuring accuracy, compliance with legal standards, and timely issuance of adverse action letters when required.
• Review and edit timecards for accuracy and compliance with pay policies.
• Complete the I-9 process for new hires, including verification and confirmation of employment eligibility documentation during onboarding.
• Manage employment authorization processes through E-Verify, including submitting cases for new hires and resolving any discrepancies.
• Provide accurate employee data and documents to legal counsel as required.
• Support benefits administration; provide required information for timely leave claim processing and manage accommodation requests in compliance with policies.
• Maintain and refresh HR intranet with updated resources.
• Sort and distribute HR mail and correspondence.
• Support HR projects and assist team members with execution.
• Perform administrative ad hoc tasks and special projects as needed.
