Job Title: HR Operations Specialist

Location: Kuala Lumpur, Malaysia

Employment Type: Full-time, regular, hybrid work arrangement

The job

Looking for People Operations Specialist to effectively carry out day-to-day high quality, compliant, fit-for-purpose and consistent HR services (including payroll) in line with Service Level Agreements (SLAs).

This role serves as the point of contact for Singapore & Indonesia. You'll provide support to employees for general HR queries, issues, and problems resolution on centre-supported services such as benefits, payroll and HR policies and procedures, and to perform all HR related transactional activities. 

Key Accountabilities

Supports the development and implementation of HR policies, standard operating procedures, forms and tools, as well as manages HR content on the intranet

Responds to inquiries including but not limited to HR Policies and Procedures, payroll, benefits, employment terms & conditions, pension, HRIS, in compliance with internal policies /guidelines and state regulations via HR Helpdesk, emails or phone.

Collaborates with other HR subject matter experts, COEs and/or HRBPs to resolve employee issues in a thorough and timely manner

Works with the teams to continuously improve People Services in all dimensions including quality, speed, and cost of delivery.

Assists employees and managers navigate through HRIS, HR Helpdesk, Employee Self Service, Manager Self Service and other systems.

Performs transactional activities under the People Services as below but not limited to:

People Data Administration and Reporting

Administers and maintains job and personal information and leavers in HRIS

Administer on-boarding process including of personal data collection, updating HRIS and conduct HR induction with new starters.  Handles absence and leave management, and changes of employment terms & conditions in HRIS

Files personal records and documents

Issues employment contract/letter/agreement

Manages basic post-offer queries

Prepares or runs ad hoc and routine/scheduled reports

Payroll & Benefits

Prepares payroll and statutory/cyclical related activities ensuring compliance with legal requirements

Handles payroll & benefits, pension, insurances, and health & wellbeing related queries.

Global Mobility – liaises with Global Mobility team and vendor in local visa or employment pass applications.

Maintains strong controls and ensuring GDPR is adhered to

Knowledge, Skills and Experience

Ability to interpret and communicate HR policies, procedures, and programs.

Knowledge in labour laws, statutory requirements, payroll and benefits of countries under the scope

Experience in handling payroll service and benefits administration for Singapore and Indonesia.

Good interpersonal skill and ability to communicate well both oral & written (English), in a diverse work environment.

Demonstrable problem solving & analytical skills and critical thinking.

Proficient with Microsoft Office Suite including Word, Outlook, Excel, and PowerPoint

Experience using HR Information system/Software and reporting application

Ability to handle challenging issues in a diverse and dynamic environment

Discipline and effective time management of organisation skill

Strong numeracy skill

Having experience or knowledge of Singapore and Indonesia culture will be an added advantage


Qualifications

Bachelor’s Degree in Human Resources, Business Administration or related field

Min 4-5 years HR services related experience in payroll, benefits, HR policies and processes
