Job Title: Administrative Assistant – HR & Office Support
Position Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to provide critical support to our HR and business operations teams. This role is ideal for someone who thrives in a fast-paced environment and enjoys being the first point of contact for employees and visitors. The Administrative Assistant will manage front desk operations, assist with HR-related processes, and ensure smooth day-to-day administrative functions across the organization.
QualificationsHigh School Diploma or GED required; Associate or Bachelor’s degree in HR preferred.Minimum of 3 years of administrative or office support experience (with some HR preferred). Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and email communication.Strong Excel skills for data entry and reporting.Excellent organizational, calendar management, and planning abilities.Work EnvironmentBased at the front desk in a modern facility.Flexible schedule; typical hours are 8:00 AM – 5:00 PM.Collaborative, team-oriented culture with opportunities to support HR and compliance initiatives.Key ResponsibilitiesFront Desk & Visitor Management: Greet and assist visitors professionally, manage sign-in procedures, and ensure compliance with ITAR and safety protocols.HR & Compliance Support: Assist with onboarding tasks such as creating security badges, assigning access, and scheduling required safety training. Maintain accurate records for compliance programs.Administrative Support: Provide support to HR and leadership teams, including scheduling meetings, coordinating travel, preparing reports, and handling correspondence.Event Coordination: Help organize company events, All Hands meetings, and employee engagement activities.Office Operations: Manage mail distribution, order office and breakroom supplies, and maintain inventory.Data Entry & Reporting: Perform accurate data entry for HR and safety systems, generate reports, and assist with key metric tracking.Backup Support: Serve as backup for Facilities & Safety reporting and attend daily meetings when needed.

Pay and BenefitsThe pay range for this position is $25.00 - $25.00/hr.
