HR Leave Coordinator

Under general supervision, the Leave Coordinator supports the administration and compliance of leave programs, ensures timely communication and documentation, and assists in implementing leave strategies. This role also supports the Americans with Disabilities Act (ADA) accommodation process and fosters an efficient and compliant leave experience for employees.
Responsibilities:
Assist in administering leave processes, including FMLA, personal leave, short- and long-term disability, military leave, ADA, and applicable state-specific leave programs. Collaborates with the Leave Administrator, department management, HR Business Partners and in-house counsel on leave and ADA matters. Adhere to Standard Operating Procedures (SOPs) for leave administration and state-mandated sick leave programs. Generate timely notifications and communications. Manage leave inquiries through the service desk and email. Maintains the Leave tracking system and ensures it is accurate and up to date. Participate in training presentations and assist with educating employees on leave policies. Educate employees and managers on leave policies and respond to inquiries timely. Work closely with disability carriers to support employees in filing claims. Monitor and process benefits premium payments for employees on unpaid leave and coordinate with relevant teams to ensure accurate notifications and communication. Perform other duties as assigned.Qualifications:
Associate Degree in a relevant field or equivalent experience. 1–2 years of experience in leave administration, benefits, or human resources. Knowledge of federal and state laws related to leave (e.g., FMLA, ADA, state-specific programs like CFRA and OFLA). Familiarity with HRIS applications. UKG Pro preferred. Multi-state and multi-site HR experience. Experience collaborating across departments and providing mentorship or guidance. Demonstrates respect and support for colleagues in a team environment. Proven ability to maintain confidentiality and manage sensitive information. Strong analytical skills with the ability to translate information into actionable plans. Effective communicator with empathy for employees’ diverse needs and situations. Excellent organizational, time management, and multi-tasking abilities. Strong written and verbal communication skills.
