Tasks and Responsibilities:
• Support the HR, Legal and Compliance Executives and their team members by providing high level administrative support. • Organize and maintain diaries and schedules complex appointments and meetings. • Coordinate meetings, workshops, trainings, and other communication sessions including setup and support with regards to necessary preparation for those meetings (agenda, reserve conference rooms and equipment and coordinate catering services) • Prepare presentations (including training), reports, statistical charts, and briefings. • Coordinate and establish all travel arrangements (hotels, flights, etc.), reconciling travel and expense reports. • Devising and maintaining office systems, including data management, filing etc. • Assist in integration of new office technologies and systems as appropriate. • Completes, collects, and checks documents for completeness according to given criteria. • Consolidates data from various sources in single presentations and documents.  • Maintains confidentiality of all sensitive or proprietary information.
Specific HR Related Tasks:
• Act as the liaison between HR, HR shared service providers and employees, ensuring smooth communication and prompt resolution of requests and questions. The latter will include coordinating the signature and distribution of letters requested by employees, employment contracts, etc.  • Support the Talent Acquisition department with job postings, scheduling and coordination of interviews, and close job requisitions in the IT system. • Assist with onboarding of new employees inc. relocation activities when applicable. • Support employees during exit management process and ensure process is completed. • Assist in creating policies, processes, and documents. • Keep HR Intranet updated.
Specific Legal & Compliance Related Tasks:
• Assist in regular reporting and verification activities (e.g. tracking of action items, status, creating reports, follow-ups) • Administer training campaign and assist in preparation of trainings • Assist with translation co-ordination for legal and compliance • Assist with keeping corporate documents up-to-date and administering “corporate housekeeping” activities. • Administer and follow-up on Legal & Compliance tasks within Siemens Healthineers Egypt within the defined timelines.  • Responsible for administrative support for regular reports including Data privacy, Risk and internal controls.
Qualifications and Experience
• Bachelor’s degree in administration or similar. • 3+ years of relevant experience in similar role. • Excellent written and verbal English. • Extensive experience in organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. • Has experience particularly in coordination & cooperation with multinational environment within the company. • Understand the required level of confidentiality and accuracy that the job requires. • Excel in the usage of MS Office, specifically MS Outlook, Word, Excel and PowerPoint.  • Experience in HR and/or Legal and Compliance departments will be considered advantageous.
