Project Overview The Team Lead, Document Management plays a pivotal role in a high-impact initiative to eliminate a significant backlog in preparation for the transition to a new Clinical Information System (CIS). This role combines leadership and operational responsibilities, overseeing a team of Document Management Technicians while actively participating in the preparation, scanning, indexing, and reconciliation of clinical documentation. Key Responsibilities • Supervise and support a team of 20 Document Management Technicians. • Provide coaching, feedback, and performance management. • Serve as the first point of contact for escalations and troubleshooting. • Facilitate team communication and ensure alignment with project goals and standards. • Prepare, scan, and index patient documents (e.g., physician notes, ER notes, lab reports). • Identify document types using barcodes or manual selection. • Ensure accuracy in patient identification, encounter details, document type, and page order. • Flag unknown document types for QA review. • Meet daily volume targets (approx. 10 inches of paper or 3,000 images per shift). • Participate in a structured 6-week training program (hands-on and shadowing components). • Maintain professionalism and communicate effectively via Teams, email, or phone. Additional Skills & Qualifications • Experience with electronic health records (e.g., HPF, Meditech, Cerner) is an asset. • Strong attention to detail and organizational skills. • Tech-savvy with the ability to learn IT systems and troubleshoot basic issues. • Excellent customer service and communication skills. • Ability to work independently and collaboratively in a high-volume environment.
