Position Summary 

The Health Informatics & Information Systems Assistant provides essential administrative and operational support to the Health Informatics and Epic Information Technology (IT) team. This role focuses on managing communications, coordinating meetings, maintaining project tracking systems, and supporting daily operations for the leadership team. The position is hybrid, with a combination of on-site and remote work expected. 

While there are opportunities to grow into more technical or project-based responsibilities over time, the immediate priority is to have a highly organized individual who can manage complex schedules, communications, and project details efficiently. 

Key Responsibilities 

Provide direct administrative support to the Vice President of Health Informatics and Vice President of Information Systems.Monitor and manage email communications, flagging priorities and ensuring timely follow-up to maintain effective communication flow.Coordinate and schedule meetings, including preparing agendas, managing logistics, tracking attendance, and following up on action items.Maintain and update project trackers, timelines, and task lists to give leadership an accurate view of progress across initiatives.Triage, summarize, and track Epic support requests for the Health Informatics Department.Assist with project coordination tasks, including organizing deliverables and supporting communication between teams.Draft and format training materials such as tip sheets and workflow documentation.Support report generation and preparation of summaries to inform leadership decision-making.Collaborate with the Epic IT team to understand basic workflows and provide administrative support where needed.

Qualifications 

High school diploma or equivalent required; associate’s or bachelor’s degree preferred.Proficiency in Microsoft Outlook, Teams, Excel, and Word is required.Strong organizational and communication skills.High attention to detail with the ability to manage multiple priorities at once.Comfortable working with data, documentation tools, and shared digital workspaces.Ability to learn new technologies and workflows quickly.Prior experience in a healthcare or IT setting is a plus.
