Health, Safety and Security (HSS) Administrative Assistant
Airswift is looking for an HSS Administrative Assistant to work for a major LNG client in Houston, TX, for an initial 1-year assignment.
Primary Purpose
Implements the Health, Safety and Security (HSS) communication plan, campaigns, and initiatives at the company. Provides administrative support and serves as resource for maintaining and updating documentation related to various HSS functions. Serves as HSS point-of-contact for office Safety Committees. Facilitates training for Fire Wardens. Supports the HSS onboarding process of new employees.
Duties and Responsibilities Develops, prepares, and maintains documentation related to the processes, systems, and tools of the HSS function. Researches, reviews, and collects information for HSS reports. Creates new documentation or updates existing documentation. Maintains department HSS Function Share Point. Supports the preparation and arrangement of workshops, team-building activities, HSS meetings, HSS Summits, Safety Week, and safety campaigns. Serves as the HSS liaison for internal communications. Collaborates with office-based personnel, contractors, and leadership teams to ensure safety protocols are understood and followed. Supports the maintenance of the SI High Rise Tenant Fire Safety Manual and trained employee certifications from the Houston Fire Department. Manages the SI Fire Warden team. Supports the development of the HSS training for the Houston and San Diego office workforce, contractors, and visitors on HSS regulatory and internal requirements. This includes new hire and visitor orientations, as well as office safety protocols. Maintains documentation and ensures timely incident reporting using internal platforms. Leads or participates in in-office investigate incidents and near-misses, identify root causes, and recommend corrective actions. Coordinates with Facilities Management to ensure reported hazards are mitigated promptly. Performs other duties as assigned. Education Associate's degree in environmental, occupational health, or other relevant discipline or the equivalent combination of education, experience and/or training required. Bachelor's degree preferred. Experience 3-5 years of experience in Health, Safety, and Security-related roles preferred. 3-5 years of industry experience preferred. Knowledge, Skills and Abilities Ability to utilize various software applications such as Microsoft Office Suite, DataStream, MAX, SharePoint, etc. Ability to provide administrative support to various levels of management. Effective communication skills, both written and verbal. Must be very organized and able to operate in a high-paced multi-tasking environment. Possess the ability to complete time-sensitive assignments accurately. Experience in implementing best practices of Health, Safety, and Security. Analytical thinking and utilizing concise information while working through problems and implementing solutions.
