What this job involves 

● The Guest Service Ambassador (GSA) plays a pivotal role in providing authentic service experiences that bonds the relationship between JLL, our client and their guests. 

● As the first point of contact at Reception they are responsible for welcoming employees with genuine hospitality and thoughtful services. GSAs maintain smooth operations by 

providing administrative support and execution of duties to the highest standards.

Required 

● Client/Stakeholder Management 

o Provide superior customer service to meet on-site client’s expectations 

o To be attuned with customers, build and establish relationships with stakeholders 

across all levels 

o Foster a sense of community and create happiness at work for the team, the client 

and their guest 

o Display tact and diplomacy in working and communicating with others/users 

o Foster a sense of community and create happiness at work for our team, our client 

and their guest 

o Share communications collaterals with the JLL team 

● Procurement & Vendor Management 

o Work with sourcing to on-board new vendors and maintain existing vendor and 

contract information. 

o Liaise and manage respective vendor to support the functionality of office space 

● External/Internal Visitor Management 

o Provide personable and efficient visitor registration services. 

o Ensure regulatory compliance in managing visitor access through clients Visitor 

Management Systems (VMS) 

o Enhance safety and security of our client’s facility by management of visitor 

movement. 

o Execute emergency response plan to ensure safety of client and guest when 

necessary 

o Deliver concierge service with local expertise and insider knowledge. 

o Manage transportations request from visitors and employees 

● Health & Safety Management 

o Assist in carrying out safety procedures when needed 

● Site Operations Management 

o Is FM’s frontline to take GUTS tickets 

o Assist in the implementation of Industry Best Practice operations 

o Maintain premises in neat and good working condition at all times 

o Maintain duplicate office keys in good order 

o Provide FM support for meeting room bookings where required 

o Assist in the implementation of site field manuals & SOPs for the FM functions 

o Pro-actively inspect interior and exterior spaces regularly as directed to ensure the 

facility is in good repair and the site is safe. 

o Assist to keep an eye for the workplace and ensure that the facility is a clean and 

hygienic place to work in.

o Be responsible to consolidate all customer issues and generate a monthly report 

o Ad Hoc responsibilities assigned by the Site Service Manager 

o Prepare logs, documents and reports as required for the site and take action as 

required. 

o Be a team player and work with other members of the team to meet all team goals 

and deliver performance excellence 

o Observe and report all incidents or suspicious activity to the Site Service Manager 

or Client Security as appropriate for the circumstances and/ or as required by the 

site. 

o Create a comfortable, welcoming and hospitable experience for employees and 

their guests 

o Boost agility in the workplace by managing up-to-date visitor information 

o Handle internal & external calls and correspondence. 

o Anticipate client needs through observation to create memorable experiences 

o Manage stationery requisition and related inventory management 

o Creating a welcoming environment for clients, (internal/external) customers by 

providing authentic, caring and timely service 

● Risk Management 

o Assist in the implementation and management of property risk management 

program 

o Support the implementation of disaster recovering and business continuity plans 

o Follow established escalation procedures and incident reporting procedures 

o Adhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the 

firm’s guidelines, procedures and strategies 

● Achieve Key Performance Indicators and Service Level Agreement targets
