Groups, Conference and Events Sales Coordinator

As Groups, Conference and Events Sales Coordinator for Hilton Fiji Beach Resort and Spa you will be working with the Cluster Groups, Conferences & Events Sales Manager prior to functions and work with Event Planners for day of events. Specifically, your essential functions will be to perform the following tasks to the highest standards:

 

Organize, plan and prioritize your duties by developing plans and goals.

Timely communication to internal and external clients via telephone, email, written documents or in person.

Handle phone calls, e-mails and greeting clients for Catering and Events in a professional, courteous manner.

Input programs in booking systems, managing VIP guest arrangements, and coordinating site visits.

Create and communication of documents including but not limited to BEOs, group resumes, post event reports, menus, diagrams/floor plans.

Work with affiliate groups.

To be aware of the key revenue goals and targets of the department and focus all sales opportunities to achieving these goals

Assist with clients and deliver on the client’s expectations.

Demonstrate knowledge of job systems, products, booking systems, and processes.

Make decisions and solve problems by analyzing and evaluating the issues and determine the best solution for the client.

Ensure high quality service by communicating and assisting others to understand the guest needs.

Participate in customer site inspections and assist with the sales process as necessary.

Other duties as necessary based on business needs

Manages Events file once handed over by the proactive/reactive team in terms of event planning, menus, BEO’s

Champions the Carbon Neutral Meeting/any ESG initiatives for events

Assists Cluster Conference and Events Executive in handling proactive ad hoc events like group dinners, team building (without any room nights attached) as delegated by Cluster Groups, Conferences & Events Sales Manager for Hilton Fiji Beach Resort and Spa

 

RESPONSIBILITIES

Commercial Focus

To be aware of the key revenue goals and targets of the department and focus all sales opportunities to achieving these goals

To build relationships with clients and develop an understanding of their needs and requirements and provide solutions to match in order to convert the business

To achieve conference accommodation and event sales in line with targets

Effective negotiation on rates according to selling strategies

To actively promote the hotel facilities by entertaining clients and agents as necessary

Maximise revenue through upselling

Ensure all reports are produced as requested by Management

Collating market intelligence

To have an understanding and knowledge of our competitors strengths and weaknesses

 

Customer Service

To maintain a broad range of product knowledge about the Hotel

Conducting site inspections of the hotel with potential clients

To handle any incoming leads professionally through all channels e.g. by phone and or online channels.

To respond positively to sales opportunities to effectively manage the leads

To organise and prioritise work in order to ensure guaranteed response times and deadlines are met

Updating and maintaining accurate account profiles in the database systems e.g. Delphi

To deliver outstanding customer service whilst ensuring a clear and effective line of communication is maintained with all relevant departments within the Hotel

 

Teamwork

To assist the Cluster Groups, Conferences & Events Sales Manager in ensuring that all targets and standards are met for Hilton Fiji Beach Resort and Spa

Attending weekly BEO and GRC Meetings

Assist in the training and development of new team members

To attend team/departmental meetings as requested

Attending designated training programs

To work and co-operate with others actively, taking part in departmental meetings, team briefings and project work to ensure the team achieves overall goal

To develop a good working relationship with the Commercial Team

To actively work as a member of the team, contributing to maximizing revenue and generate business

Work and cooperate with the team and other departments and offer support and assistance when necessary

 

Workplace Health and Safety

Team members will be accountable to their supervisor or manager for:

Working in a safe and healthy manner and encouraging the safe behaviour of their peers

Taking reasonable care for the health and safety of themselves and others (team members, contractors, guests, members of the public) at the hotel.

Keeping their work area safe, clean and tidy

Accepting and abiding by, the intent and instruction of the WHS policy

Participating in all WHS consultative meetings, emergency response rehearsals and reviews

The immediate reporting (to their direct supervisor) of all hazards which may cause injury, ill health or damage and to actively participate in programs undertaken to eliminate or control such hazards to the extent to which they are authorised and/or qualified

The immediate reporting of all incidents – no matter how small to their direct supervisor

Undertaking all training in safe work practices, system requirements, and where necessary, re-training

Participate and cooperate in the rehabilitation and return to work program if injured

Wearing and maintaining all personal protective equipment (PPE) as required by the job or work environment

Cooperate with Hilton regarding any requirement that is enforced in the interests of health, safety and welfare at work.

Possible physical duties;

Reaching, lifting paperwork, brochures, stationary etc

Standing up to/ or greater than eight hours
