Group Rooms Coordinator SUMMARY The Group Rooms Coordinator is responsible for handling all reservation aspects of corporate, association and social group: establishing and actively managing Passkey room blocks, meeting with meeting planners and Catering/Conference Services mangers, as needed; room block monitoring; rooming lists; reporting pick-up and monitoring attrition, assigning VIP and upgraded accommodations, client correspondence relating to reservations and performing daily tasks that assist all members of the Sales, Marketing, Events and Executive offices in alignment with the department’s long-term goals and objectives, as required. This role will contribute to the organization as an active business partner that is responsible for supporting the company's goals, objectives, vision, mission, and values. ESSENTIAL FUNCTIONS Major areas of responsibility/ management include, but are not limited to: + Setting up and actively managing Passkey blocks for all corporate, social and association group contracts + Assist in processing all incoming reservations received via rooming lists. Identify, block and process staff and VIP lists with each group, as directed by Managers. + Review room block pick-up and calculating room revenue spend to ensure contracted financial obligations are met and reporting attrition payments due. + Review rooming lists for accuracy in format and billing and ensure prompt processing. + Review sales contracts as well as other important information, i.e., room block, cut-off date, special concessions and attrition clauses. Monitor and enforce program deadline dates to maximize hotel revenues. + Lead weekly room block pickup meetings with Sales/Conference Services teams. + Be well-informed to accurately answer guests’ questions about the resort. + Attend preconvention meetings as required, be prompt and prepared. + Develop good working relations with meeting planners to ensure their requests and needs are being met in a timely manner. + Communicate and work closely with Catering/Conference Services and Sales Managers throughout the group’s program to ensure success. + Maintain open communication channels between departments, passing along pertinent information in a timely manner. + Support Sales initiatives across the Sales Office including daily client service, receive initial inquires, providing preliminary hotel rooms and catering information, and qualifying leads across segments. + Generate daily, weekly and monthly reports + Responsible for handling administrative duties as assigned. QUALIFICATIONS + High school or equivalent education required. + Track record and reputation of demonstrating high degree of discretion and sound judgment. + Exceptional interpersonal skills for positive and effective communication with a diverse population including complaint resolution. + Strong customer service orientation. + Excellent verbal and written communication skills. + Extremely organized and efficient in planning, prioritizing and executing a complex workload. + Must have solid professional references for a strong skill set, meeting and exceeding job objectives within deadlines, and exceptional job performance. + Must be flexible to adapt to changing business needs and/or ad hoc projects. + Must be adept at multi-tasking and managing multiple priorities in a fast-paced environment. + Must be able to speak, read, write and understand the primary language(s) used in the workplace. + Proficient in all Microsoft Office applications + Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled/mandatory training sessions and meetings is required.
