Global OST Administrative Assistant
Job Location CINCINNATI GENERAL OFFICES Job Description The Global OST (Operations, Supply Chain, and Technology) Administrative Assistant will provide comprehensive administrative support to the Global OST (Operations, Supply Chain, and Technology) team, ensuring efficient operations and effective time management for leadership. This role demands a high level of organization, discretion, and proficiency in various administrative tasks.Job Responsibilities + Calendar Management: Proactively manage complex calendars for senior leadership, including scheduling meetings, appointments, and travel arrangements across multiple time zones. + Meeting Management: Coordinate and prepare for global meetings, including agenda development, material preparation, minute-taking, and follow-up on action items. + Travel Management: Arrange detailed domestic and international travel logistics, including flights, accommodation, ground transportation, and visa requirements. + Expense Management: Prepare and submit expense reports accurately and promptly, adhering to company policies and deadlines. + Budget Management: Assist with tracking departmental budgets, processing invoices, and reconciling financial statements. + Microsoft Applications: Create and edit professional documents, presentations, and spreadsheets using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams). + Discretion: Handle confidential information with the utmost discretion and professionalism, maintaining the privacy and security of sensitive data. + Provide general administrative support: Including email correspondence, file organization, and ad-hoc project assistance as needed. Job Qualifications Required + Proven experience as an Administrative Assistant or Executive Assistant in a fast-paced, global environment. + Demonstrated expertise in Calendar Management, Meeting Management, and Travel Management. + Strong proficiency in Microsoft Applications, particularly Outlook, Word, Excel, and PowerPoint. + Experience with Expense Management and basic Budget Management principles. + Exceptional organizational and time management skills with the ability to prioritize multiple tasks effectively. + High level of Discretion and integrity when handling confidential information. + Excellent written and verbal communication skills. + Ability to work independently and as part of a global team.
