Front Office Coordinator

The Front Office Coordinator supports the overall operation of the Front Office department, ensuring an exceptional guest experience from arrival to departure. This role contributes to optimizing room allocation, managing guest preferences, coordinating with other departments, and supporting administrative controls, all while driving guest satisfaction and business results.


What will I be doing?

Front Office Coordinator supports the day-to-day Front Office operations, ensuring efficient coordination, exceptional guest experiences, and alignment with service standards while contributing to revenue optimization and team performance.

Operational Management

Coordinate strategic room assignments based on arrivals, guest preferences, and room categories.Oversee reservation management, including groups, VIP guests, and special requests.Support upselling strategies to maximize room revenue.Monitor occupancy, availability, and potential overbooking scenarios in collaboration with key departments.

Guest Experience

Ensure personalized service for VIP guests and special programs.Follow up on guest preferences and special requests to enhance satisfaction.Communicate relevant guest and operational information to the team to ensure service consistency.

Cross-functional Coordination

Collaborate with Reservations, Sales, Housekeeping, and Maintenance to ensure smooth operations.Coordinate room blocking, preventive maintenance, and logistics for groups and events.Participate in daily briefings and operational meetings, sharing key updates.

Administrative Control

Support inventory management and resource planning within the department.Assist with reconciliations, operational reporting, and performance tracking.Contribute to payroll scheduling and team incident tracking.

Analysis & Continuous Improvement

Monitor Front Office performance indicators.Participate in internal audits and quality standards compliance.Identify opportunities to improve processes and enhance operational efficiency and guest experience.

 

What are we looking for?

 A Front Office Coordinator serving Hilton brands is always working on behalf of our Guests and working with other Team Members. To successfully fill this role, you should maintain the attitude, behaviors, skills, and values that follow:

Minimum 1 year of experience in Front Office or a similar role in hospitality.Familiarity with hotel systems and digital tools (PMS, Office Suite, upselling platforms, etc.).Knowledge of service and quality standards (Forbes, QA, or similar).Advanced English level (certification preferred).Strong organizational, communication, and teamwork skills.Customer-focused mindset with attention to detail.
