Job Description
Primary Responsibilities: The Front Desk / Office Coordinator is responsible for managing daily front desk operations, maintaining the overall organization and cleanliness of the office, ensuring supply availability, and managing mail operations. This role is key to maintaining the professional image and smooth daily operations of the office.
Skills & Competencies:
+ 2+ years of experience in front desk or administrative roles
+ Proficient in Microsoft Word, Excel, and PowerPoint (advanced preferred)
+ Strong attention to detail and organizational skills
+ Excellent written and verbal communication
+ Ability to multitask and prioritize in a fast-paced, deadline-driven environment
+ Previous experience in a professional office setting
+ Experience working in a work schedule environment, including in-office operation
Essential Job Functions:
+ Greet all visitors and employees in a professional and welcoming manner
+ Promptly notify team members of guest arrivals
+ Ensure all meeting rooms are clean and organized at the start of each day
+ Manage parking vouchers as needed
+ Order and restock office supplies and equipment
+ Maintain accurate inventory levels with twice-daily supply checks
+ Manage snack and supply orders to ensure consistent availability
+ Provide full-service mail support, including receiving, sorting, scanning, and distributing mail to appropriate contacts
+ Notify employees of package deliveries in a timely manner
+ Assist with FedEx shipping label creation and coordination
+ Submit and follow up on building management work orders to ensure resolution
+ Direct employee related questions to Human Resources including but not limited to, employee events, weekly lunch, badge access, etc.
+ Other duties, as assigned by supervisor or leadership team
Key Metrics & Responsibilities:
+ Front desk and meeting rooms are kept clean and orderly each day
+ Work orders are submitted and resolved in a timely manner
+ Office supplies and snacks are consistently stocked and replenished
