Overview The Front Desk supervisor will oversee and lead the front desk team at the Ambulatory Cardiovascular Center that will serve multiple cardiology practices. This position is pivotal in ensuring that patients receive a seamless, positive experience from the moment they arrive at the practice. The Front Desk Manager will also streamline operations and implement efficient workflows, while fostering a collaborative and supportive environment for the front desk staff. The role requires strong leadership skills, the ability to multitask, and a patient-centric approach. Job Details Responsibilities Oversee a team of front desk administrative staff ensuring alignment with team goals and a collaborative work environment. Develop and maintain staffing schedules, ensuring adequate coverage across all shifts and practices to meet patient demand. Manage time-off requests and staff assignments. Provide onboarding, training, and continuous professional development for front desk staff, ensuring they are well-versed in systems, policies, and best practices. Foster a culture of excellence and customer service among the team. Set clear expectations and performance metrics for front desk staff. Conduct regular performance reviews, offer constructive feedback, and assist in career development and advancement opportunities for team members. Supervise patient check-in, check-out, and scheduling processes to ensure smooth patient flow and a positive patient experience at all stages of their visit. Address and resolve patient complaints or issues related to the front desk efficiently, ensuring high levels of satisfaction and quick resolution. Monitor patient wait times and implement strategies to minimize delays. Work closely with the clinical team to balance appointment flow and improve the overall experience. Ensure patients receive clear communication regarding their appointments, procedures, and any necessary documentation. Assist in managing patient expectations by providing timely updates on wait times and schedules. Implement and refine efficient front desk workflows to optimize both patient experience and staff productivity. Ensure the team follows standardized procedures across all practices to create a cohesive and consistent patient experience. Oversee the use of electronic medical records (EMR) systems, scheduling software, and other tools to streamline front desk operations. Ensure the team is proficient in utilizing these tools to maximize efficiency. Establish and enforce front desk protocols for daily operations, including appointment scheduling, patient registration, data entry, and document management. Ensure compliance with privacy regulations (e.g., HIPAA). Work closely with site managers, practice managers, and clinical teams to ensure alignment on daily operations, patient needs, and interdepartmental communications. Hold regular team meetings and huddles to update staff on operational changes, address concerns, and foster a collaborative environment. Ensure ongoing communication between front desk staff and other departments. Track and report on KPIs related to patient wait times, patient satisfaction, and operational efficiency. Work with the management team to develop strategies for continuous improvement. Qualifications A minimum of three (3) years of experience in a hospital or clinical administration position. In-depth knowledge of healthcare regulations and medical terminology. Outstanding written and verbal communication skills. Proficiency in Microsoft Word and Excel. Strong problem-solving and time management skills. Ability to thrive in a fast-paced environment. Salary Range USD $28.00 - USD $39.00 /Hr.
