Front Desk Executive
Position Overview
We are seeking an experienced Front Desk Executive to serve as the primary point of contact for our commercial building, delivering exceptional service to tenants, visitors, and guests while managing daily front desk operations with professionalism and efficiency.
Key Responsibilities
Front Desk Management Oversee all front desk operations ensuring smooth daily functioning of the reception area. Maintain a professional, organized, and welcoming environment that reflects the building's standards. Manage visitor logs, access control systems, and security protocols in accordance with building policies.
Guest and Tenant Relations Serve as the first point of contact for all building visitors, providing warm greetings and professional assistance. Build and maintain positive relationships with tenants, addressing inquiries and concerns promptly. Coordinate with building management to resolve tenant requests and ensure high satisfaction levels.
Administrative Duties Handle incoming calls, emails, and correspondence with efficiency and professionalism. Manage meeting room bookings, coordinate building access for contractors and vendors, and maintain accurate records of all front desk activities.
Coordination and Communication Liaise between tenants, building management, security personnel, and facility maintenance teams. Communicate building announcements, emergency procedures, and important notices to relevant stakeholders. Assist in coordinating building events and tenant engagement activities.
Required Qualifications
Experience: Minimum 4 years of proven experience in a front desk executive or receptionist role within a commercial building, corporate office, or hospitality environment.
Skills: Excellent interpersonal and communication abilities with professional telephone etiquette. Strong organizational skills with ability to multitask and prioritize effectively. Proficiency in MS Office Suite and familiarity with visitor management systems.
Personal Attributes: Polished professional appearance and demeanor. Customer-service oriented mindset with problem-solving capabilities. Ability to remain calm under pressure and handle difficult situations diplomatically.
