Front Desk Coordinator
Description We are looking for a skilled and personable Front Desk Coordinator to join a dynamic dermatology practice in Santa Monica, California. This Contract to permanent position offers an excellent opportunity for an organized and detail-oriented individual with experience in reception, calendar management, and travel coordination. The ideal candidate will thrive in a fast-paced environment and bring exceptional communication and multitasking abilities to the team. Responsibilities: • Welcome patients and visitors warmly, creating a friendly and detail-oriented atmosphere at the reception area. • Handle appointment scheduling, patient check-ins, and maintain accurate electronic medical records using systems like Epic or Cerner. • Process payments, collect co-pays, and ensure compliance with payment procedures. • Keep the reception area clean, organized, and stocked with necessary supplies. • Manage the physician’s calendar, coordinating appointments, meetings, and calls to optimize schedules. • Collaborate with the office administrator to address scheduling conflicts and streamline operations. • Arrange travel plans for the physician, including booking flights, accommodations, and transportation. • Prepare detailed itineraries that align with clinical and conference commitments. • Handle changes to travel plans, ensuring prompt resolution of cancellations or adjustments. • Support overall office operations with administrative tasks as needed. Requirements • High school diploma or equivalent; certifications in medical office administration are preferred. • Previous experience in a healthcare or dermatology setting is highly advantageous. • Proficiency in electronic medical records systems such as Epic or Cerner. • Strong communication and interpersonal skills to effectively interact with patients, staff, and external vendors. • Exceptional organizational skills and attention to detail to manage multiple priorities effectively. • Familiarity with Microsoft Office Suite, including Word, Excel, and Outlook; Workday experience is a plus. • Ability to handle travel arrangements and logistics confidently. • Knowledge of dermatology terminology and treatments is desirable.
