Description We are looking for a Front Desk Coordinator to join our team in Scottsdale, Arizona. This role requires an individual who is detail oriented, possesses exceptional organizational skills, and can manage multiple tasks while maintaining a welcoming and efficient office environment. As this is a long-term contract position, we are seeking a dedicated individual who thrives in a fast-paced setting and can deliver excellent customer service.
Responsibilities:
• Greet visitors and provide exceptional customer service to ensure a positive experience.
• Manage calendars, schedule appointments, and coordinate meetings and events with precision.
• Handle confidential documents and information with the utmost discretion.
• Process invoices and oversee payment collections from clients.
• Follow up with clients to ensure their needs are met and maintain strong relationships.
• Monitor progress on ongoing projects and provide updates as needed.
• Maintain office supply inventory and place orders to ensure smooth operations.
• Scan, organize, and file documents systematically to support efficient record-keeping.
• Answer and direct inbound calls using a multi-line phone system.
• Assist with general receptionist duties to uphold a detail-oriented front desk environment. Requirements • Proven experience in receptionist or front desk roles, demonstrating strong customer service skills.
• Proficiency in computer literacy, including working with PDFs, file explorer, and typing at 40+ words per minute.
• Ability to handle confidential information responsibly and with discretion.
• Proactive approach to tasks, ensuring high levels of follow-through.
• Strong organizational skills and attention to detail in managing calendars and coordinating events.
• Familiarity with scanning and filing processes to maintain accurate records.
• Excellent communication skills for answering calls and interacting with clients.
