Front Desk Coordinator
Description We are looking for an organized and personable Front Desk Coordinator to join our team in Tucson, Arizona. In this Contract to permanent position, you will play a pivotal role in managing front desk operations while ensuring a welcoming and detail-oriented environment for all visitors and staff. This role requires strong communication skills, attention to detail, and the ability to handle multiple tasks efficiently. Responsibilities: • Greet visitors and staff with a friendly and detail-oriented demeanor, ensuring a positive first impression. • Manage a multi-line phone system by answering calls promptly and directing them to the appropriate departments. • Perform administrative tasks such as scheduling appointments, managing calendars, and maintaining records. • Handle data entry responsibilities with accuracy and efficiency. • Organize and maintain physical and digital filing systems to ensure easy access to important documents. • Provide exceptional customer service by addressing inquiries and resolving issues in a timely manner. • Utilize Microsoft Excel, Word, and Outlook for daily tasks, including creating reports and managing correspondence. • Collaborate with team members to support office operations and contribute to a productive work environment. • Ensure the front desk area remains clean, organized, and stocked with necessary supplies. Requirements • At least 2 years of experience in a front desk or administrative role. • Proficiency in using Microsoft Excel, Word, and Outlook. • Strong interpersonal skills with the ability to interact effectively with diverse individuals. • Experience handling multi-line phone systems in a detail-oriented environment. • High attention to detail and accuracy in data entry and record-keeping. • Excellent organizational skills for managing files and maintaining order. • Outstanding customer service skills with a focus on resolving issues efficiently. • Ability to multitask and prioritize responsibilities in a fast-paced environment.
