Job Description

Provide coordination and support to the operations team based at the corporate office. This will support our Vice President of Food & Beverage, Corporate Director of Food & Beverage, Head of Culinary, and Corporate Executive Chef.  

 

This is an in office role based out of the Omni Corporate Office, Monday through Friday.

Responsibilities Communicate directly with internal and external stakeholders on multiple projectsAssist with travel arrangementsAssist with recurring meetings, including, but not limited to, room and AV set up, agenda compilation and minute takingStrong interpersonal skills for communication and collaboration between departmentsAssist with Executives expense report assembly routing, and trackingHandle special projects as assignedAssist with assembly of PowerPoints and presentation materialsLiaise with internal departments and properties for executivesDaily / Weekly / Monthly communication with hotel executives and executive assistantsCalendar managementAssist with invoicing and rebills for departmentAssembly of extensive trip files pre and postMonthly reportingComposing Memos and AgendasWork closely with operations departmentSchedule, coordinate and facilitate technology for Webinars, and conference callsUpdate contact lists and email distribution lists for corporate and hotel/resort informationAssist on extremely confidential documents, such as performance reviews, bonus incentive payouts, and similarCollection and archiving of personnel documents (Performance Evaluations, KRA, Bonus/Incentive sheets, Organizational Charts) and contracts with third partiesField and distribute mail to operations departmentUpdate intranet and other internal sitesAd-hoc projects for the operations team Qualifications Must be extremely proficient in Excel, Word, PowerPoint and OutlookAbility to work extended hours when neededAbility to work independently with minimal supervisionAbility to maintain strict confidentialityMust be highly organized and have the ability to multi- task and shift priorities as neededProfessionalism is a must!Excellent written and verbal communications skillsMust be a team player and contribute positive energyFlexibility and capability to take on special assignments/projectsBachelor’s degree preferred
