Fleet Coordinator

Job Summary:The Fleet Coordinator supports Trane Technologies’ service, operations, and logistics teams by ensuring that all company vehicles are properly maintained, compliant, and available for use. This role helps manage fleet operations across multiple locations and ensures alignment with Trane’s safety, sustainability, and cost‑efficiency goals. 

Responsibilities: 
• Coordinate day‑to‑day fleet operations for service and operations teams.
• Manage vehicle assignments, transfers, replacements, and new‑vehicle onboarding.
• Monitor scheduled and preventive maintenance to ensure vehicle safety and reliability.
• Support compliance with DOT, EPA, and Trane Technologies safety standards and policies.
• Track vehicle registrations, inspections, insurance, and licensing renewals.
• Assist with managing telematics systems, GPS tracking, and performance reporting.
• Communicate with drivers, service managers, and fleet vendors to resolve vehicle issues quickly.
• Maintain accurate records of vehicle inventory, mileage, maintenance, and operating costs.
• Coordinate with external partners (leasing companies, maintenance vendors, fuel card providers).
• Support fleet‑related sustainability initiatives, including emissions reduction and fuel‑efficiency reporting.
• Assist with accident/incident reporting and coordinate repairs with vendors.
• Track fuel card usage and compliance with Trane Technologies policies.
• Ensure adherence to asset‑management processes and proper recordkeeping in Trane systems.


Qualifications:
• Strong organizational and multitasking skills.
• Excellent communication and customer‑service mindset when supporting drivers and leaders.
• Basic understanding of vehicle maintenance and fleet operations (preferred).
• Ability to work with fleet management software, telematics platforms, and Microsoft Excel/SharePoint.
• High attention to detail with the ability to track documentation, renewals, and compliance deadlines.
• Problem‑solving ability and willingness to work with vendors and internal teams to resolve issues promptly.


Key Competencies: 
• Experience in fleet operations, logistics, service coordination, or asset management.
