Firm Administrative Assistant
Description We are looking for an experienced Firm Administrative Assistant to join our team at a CPA firm in Parsippany, New Jersey. The ideal candidate will play a key role in supporting senior leadership, maintaining organizational efficiency, and enhancing client experiences. This position offers an opportunity to contribute to a fast-paced and highly organized environment where attention to detail and proactive problem-solving are highly valued. Responsibilities: • Provide comprehensive administrative support to senior partners, ensuring seamless daily operations. • Prepare well-structured presentations and materials for meetings and client engagements. • Process, organize, and file tax returns accurately and in compliance with regulatory standards including formatting of financial statements. • Develop and update manuals, including the Tax Processing Manual, to ensure clear procedural guidelines. • Address client needs and inquiries with professionalism and efficiency. • Identify and implement process improvements to enhance the performance of the administrative department. • Manage inbound and outbound calls, ensuring prompt and courteous communication. • Schedule appointments and maintain calendars for senior partners and team members. • Coordinate email correspondence, ensuring timely responses and proper documentation. Requirements • Minimum of 3 years of experience in administrative support or a related role. • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. • Strong communication skills, both verbal and written, with a focus on customer service. • Proven ability to handle inbound and outbound calls professionally. • Experience with data entry and maintaining accurate records. • Familiarity with tax preparation and financial statement processes is preferred. • Exceptional organizational skills and attention to detail. • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
