Flexible Financial Executive Assistant role supporting a global private equity family office with direct exposure to high-level investments.

 

Part-Time or Full-Time Financial Executive Assistant role, supporting the financial operations of a private equity-focused family office that manages a global investment portfolio. This is a flexible role, ideal for a proactive individual with a strong background in finance and family office operations, offering both home-based work and occasional meetings in London.

Job Summary:

As a Financial Executive Assistant, you will provide key support to the Head of the Family Office in overseeing the financial activities, with a focus on private equity investments in mid-market special situations, as well as direct support to the Principal. You will play a critical role in ensuring the smooth operation of financial reporting and processes,  transaction support and general Executive Assistant responsibilities.

Key Responsibilities:

Financial Reporting/Process Support: Assist the Head of the Family Office in preparing financial reports for the family’s private equity investments. Ensure accurate, timely reporting and help interpret financial data for key stakeholders. Ensure oversight of holding companies, including coordinating/overseeing monthly processes which are administered by third-party accounting teams. Portfolio Management Assistance: Prepare reviews of portfolio companies, as well as preparing basic budgets for holding companies/Family Office entities. Transaction Support: Provide assistance in monitoring ongoing transactions related to the family’s private equity assets, helping maintain proper financial controls, ensuring record-keeping, and supporting filings in collaboration with external teams. Liquidity Management Support: Working with the Head of the Family Office and assist with managing liquidity for both the private equity and passive investments portfolios, ensuring that the required distributions are made to meet the family’s needs while supporting future investments. Tax & Financial Coordination: Liaise with tax advisors, financial institutions, and investment managers to optimize tax strategies and financial planning, under direction of the Head of the Family Office Compliance & Regulatory Support: Ensure compliance with financial regulations and handle necessary filings, under direction of Head of Family Office. Administrative Duties: Handle administrative tasks such as answering emails, scheduling meetings, managing correspondence, and providing general support to ensure smooth daily operations of the family office, including management of Principal’s inbox and holiday cover for Principal’s Personal Assistant.

 

Candidate Requirements:

Financial Expertise: Strong background in finance, ideally with experience as a financial assistant or executive assistant in family office or private equity environments. Experience: Demonstrated experience managing financial activities, reporting, and transactions, particularly in the context of high-net-worth individuals or family offices. Prior experience or clear understanding of private equity beneficial. Ability to operate confidently and independently in dynamic, high-stakes investment environments is critical. An aspiration for personal development/career growth is a big bonus. There is little churn in the team, with people staying and being promoted once they join. Analytical & Organizational Skills: Strong ability to manage complex financial data, prepare reports, and coordinate multiple tasks effectively. Communication Skills: Excellent written and verbal communication skills, with the ability to distil complex financial information into clear summaries. Integrity & Trustworthiness: A high level of professionalism, reliability, and discretion in managing sensitive financial matters.

Bonus Skills:

Language Skills: Spanish language skills (spoken and written) are a plus for liaising with Spanish-speaking stakeholders and investments. European Accounting: Experience reviewing and interpreting accounts and financial reports from European companies, particularly in local formats. Qualifications: ACA/ACCA qualified accountant or similar qualification is a bonus.
