Overview: Responsible for overseeing and analyzing the finance and payroll system to include execution and timely accurate adjudication of payroll and invoicing for hourly and salaried staff. Oversees related record-keeping and accounting activities regarding payroll and invoicing items in partnership with the business development, human resource, and operations teams. Benefits vary by location.Key Responsibilities: Develop comprehensive financial reports with recommendations and strategic perspectives Create a forecast with various strategic courses of action and projections compared and contrasted to previous quartersEstablish and evaluate cost and profit models, compare and contrast performance, and provide measurable and actionable performance recommendationsAnalyzes all payroll and timekeeping processes to identify areas of improvement; leads process improvement initiatives with cross-functional stakeholdersAssists with calculating employees’ hours from timecards and timekeeping systems; ensures that all employees are paid on time and accuratelyBalances and reconciles payroll accounts; prepares periodic reports of earnings, taxes, and deductions; may keep records of leave pay and nontaxable wagesPrepare ADP enterprise entries; prepare and issue paychecksCoordinate with the Finance team for payroll, overtime, and other financial reportingUpdates records, including paid time off, rosters, and employee records.Troubleshoots payroll issues; verifies the accuracy of figures and computationsAssists with the year-end statement process, including revisionsDevelops, manages, motivates, coaches, and mentors assigned employees; provides guidance and direction on problems and issues; delegates work assignments considering employee skills and development needs.Review changes for proper authorization and adherence to policy, including compliance with federal/state/local regulationsResponsible for the preparation and processing of multiple multi-state biweekly payroll processing from start to finishTroubleshoots payroll issues; verifies the accuracy of figures and computationsEstablish/maintain the accuracy of employee records by both manual data entry and auditing the database for all employee record changes including, but not limited to, status changes, pay rate changes, address changes, new hires, terminations, tax withholdings and direct deposit informationResponsible for coordinating payroll, human resources, finance, and other departments to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports, e.g. labor" home" work, overtime, leave balances, head count, and retirement contribution reports).Maintains a wide variety of payroll information (e.g. direct deposits, pre-notes, W-4s, leave balances, salary, levies, garnishments, voluntary and involuntary contributions, etc.) for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines.Maintaining relationships with operations to identify and recommend discipline for non-complianceCompiles and transmits payroll to ADP (such as hours worked, insurance, and employee identification number, from time sheets and other records) and enters data or computes and posts wages, and reconciles errors, to maintain payroll recordsResolves discrepancies with payroll and documentation (e.g. payroll, withholding versus W4, leaves of absence, separating employees, etc.) for the purpose of ensuring the accuracy of records and employee payments.Manages the year-end statement process, including assisting with revisionsResponds to employee questions regarding all types of payroll questionsMaintains data, including file back-ups and documentation files.Maintains confidentiality of all information.All other duties as requiredRequired Education and Experience:A high school diploma or equivalent, such as a GED, is required. College/university, or equivalent degree in Business, Accounting, or related field preferred2 to 4 years of relevant payroll experience, including ADP experience, preferredProficiency working with multiple laptop computers and GSuite apps (i.e. Gmail, Hangouts, and Driver, including Sheets and Docs) and additional software platformsAdvanced proficiency in Excel or Google Sheets is highly desirableAt least 2 years of general office experience requiredRequired Knowledge Skills and Abilities (KSAs):Thorough knowledge of clerical accounting and bookkeeping procedures as applied to verifying and posting financial data. Understanding of federal, state, and local ordinances related to payroll processingAbility to accurately operate advanced calculators, analog or digitalExcellent interpersonal skills, specifically in relating well to diverse groups Advanced knowledge and proficiency with Microsoft Word, Excel, Access, and Business Intelligence platformsAbility to read, understand, and interpret instructions, policies, and proceduresGood written and oral communication skillsAbility to organize and perform work efficiently; strong attention to detailsStrong math skills.
