**JOB SUMMARY:** The Unclaimed Property Associate (AUP) is responsible for managing and processing unclaimed property records in accordance with state and federal regulations. This position involves meticulous data entry, analysis of financial records, and maintaining compliance protocols. The incumbent has a keen eye for detail, strong analytical abilities, and excellent customer service skills to interact with the public and internal stakeholders. The associate works closely with AP, payroll, accounting, branch, area and region contacts, and third-party stakeholders, to ensure that all unclaimed property is properly recorded, reported, and resolved.
ESSENTIAL FUNCTIONS

**Data Entry and Verification** :
1. Enter, update and maintain AUP additions, removals and updates to database.
2. Prepare journal entries to recognize AUP accounting in GL.
3. Reconcile balance sheet accounts monthly, and identify and resolve issues by working with subledger teams.
4. Ensure accounting entries are in compliance with group accounting methods, policies, and principles.
**Research & Analysis**
1. Conduct thorough research on unclaimed assets, verify ownership, and interpret state and federal guidelines.
2. Research AUP payments, assist with outreach letters, assist with preparation of AUP reports and filings, and coordinate state payments promptly.
3. Research and resolve field office inquiries related to unclaimed property.
**Customer Service & Communication:**
1. Serve as the primary point-of-contact for claimants, responding to inquiries in a prompt and professional manner. Provide clear, concise information regarding claim procedures and assist potential claimants in completing necessary paperwork.
**Compliance Monitoring:**
1. Ensure all activities comply with relevant legal, financial, and regulatory standards. Maintain up-to-date knowledge on changes in unclaimed property law and collaborate with internal/external stakeholders to adjust processes, as necessary.
**Documentation & Reporting:**
1. Maintain detailed and adequate documentation for internal audits and regulatory examinations.
**Collaboration & Team Support:**
1. Work closely with cross-functional teams including finance, legal, and IT to support the overall unclaimed property program.
**Special Projects / Additional Roles as needed:**
+ Support the finance organization as needed in new and ad-hoc projects, roles and responsibilities.
MINIMUM QUALIFICATIONS AT ENTRY
Additional qualifications may be specified and receive preference, depending upon the nature of the position.
**Education/Experience:**
+ Bachelor’s degree required; accounting or finance-related major preferred
+ 0-2 years’ finance-related experience
**Competencies (as demonstrated through experience, training, and/or testing** ):
1. **PC Skills:** Excellent PC skills to include proficiency in Microsoft Suite, including Word, Excel (VLOOKUP, HLOOKUP, pivots), Outlook, and meeting tools (Teams, Zoom), and internet navigation and research.
2. **Attention to Detail:** Ability to manage large volumes of data and maintain meticulous records without overlooking small discrepancies that could impact compliance.
3. **Analytical & Problem-Solving Skills:** Highly motivated self-starter with excellent problem-solving skills. Should be able to identify problems and propose a resolution, and related process and system improvements.
4. **Organizational & Time Management Abilities:** Strong organizational skills to prioritize tasks, manage multiple projects concurrently, and meet deadlines in a fast-paced environment.
5. **Effective Communication:** Excellent verbal and written communication skills to interact with multiple stakeholders, including claimants, regulatory authorities, and internal teams.
6. **Ethical Judgment & Discretion:** High level of integrity and professionalism. Ability to handle sensitive information with care and maintain confidentiality at all times.
7. **Regulatory Knowledge:** Familiarity with state and federal unclaimed property laws and regulations. Commitment to stay updated on emerging guidelines and legislative changes.
