Background and Objective

The Finance & Accounting Manager’s role is pivotal within the management team, assuming principle responsibility for property financial management, accounting and reporting.

The Finance & Accounting Manager will manage a team providing accounts payable and receivable, lease administration and office management.

The Finance & Accounting Manager is responsible for ensuring that budgets are set and targets achieved by liaising with all property management team members.  You will also be responsible for maintaining the highest standards of financial management, compliance and ethics.

Property / Team Overview:

The HSBC Building at TRX is home to a number of commercial office tenants and is an integral part of Kuala Lumpur’s newest commercial, retail and residential center.

JLL has been appointed to provide comprehensive Property and Asset Management services including operational and engineering services, tenancy lease administration, customer experience, financial management and asset planning.

The Finance & Accounting Manager will work in collaboration with the General Manager and other members of the Property Management team who will all be located onsite.

Required Attributes, Experience and Qualifications

Degree qualified with CPA / CA Qualifications.

A high degree of independence is required on a day-to-day basis but will be responsible to the General Manager for operating within specific contractual boundaries.

An ability to communicate with people at levels.

A positive approach to meeting client’s needs whilst managing occupant expectations.

A demonstrated ability to prioritize work.

Experience in commercial property management or a relevant related sector.

Demonstrated high ethical standards

Ability to develop a strong understanding of our property management database system called MRI including modules for income and expenditure, lease administration and rental and sundry invoice preparation, monthly re-forecasting and (if required) asset plan modelling software Argus.

Strong Excel skills with experience of pivot tables, lookups and multi-dimensional formulas.

Extensive experience with Property Management accounting software such as MRI

Staff supervision skills are desirable

ACCOUNTABILITIES

The main responsibility of the Finance & Accounting Manager is to direct and manage the delivery and management of financial reports to the property owners and JLL.  This includes coordinating the preparation of the quarterly asset plan (if required), the monthly owner reports and the annual budget/s for the property.

Working closely with members of the team and colleagues in the JLL Shared Service Organization (SSO), the Finance & Accounting Manager is responsible to:

Daily/Continuous

Review and post scanned accounts payable invoices for the site in MRI, such that the invoices are ready for release for payment by the General Manager.

Updating MRI budgets and forecasts as required.

Preparing transfers for monthly Owner distributions.

Liaison with vendor accounts team to clear up any billing and payment issues so that services continue to be provided in a timely manner.

Maintaining detailed financial documentation and systems to preserve Owner financial history and meet government regulations and legislation.

Conducting ongoing lease audits, including reviewing Argus (if required) and MRI for consistency to original lease contracts.

Control corporate debt.

Leasing deal analysis.

Maintain policy and procedure documentation for the site as it relates to Finance and supervise compliance.

Monthly

Preparation and review of financial and lease administration sections of Owner reports as required.

Prepare and / or review general ledger & balance sheet reconciliations.

Providing data to enable review of actual expenditure against budget to ensure that the property is operating within budget constraints approved by the Owner

Review general ledger entries for the month as recorded in MRI for completeness and accuracy.

Review head office internal cost allocations to ensure completeness and accuracy.

Ensure management fee and recharges have been claimed from property.

Review leasing fees ensuring that all fees are claimed and paid.

Review and approve rent roll. This includes ensuring that revenue has been recognized accurately by performing checks to latest Argus model (if required) and MRI lease abstracts.

Review tax reports generated by MRI for completeness and accuracy.

Quarterly

Property Reporting

Review the six monthly rental profile for reasonableness with the General Manage, by preparing variance analysis to prior profile.

Co-ordinate the updating of quarterly forecast worksheets to derive the final expenses and revenue for the financial year.

JLL Business Reporting

Preparation of the JLL calendar year re-forecast based on new leasing activity and knowledge within the property.

Yearly

Property Budgets

Preparation of the property budget, including organising the team to deliver successful internal and owner budget review meetings (where the budget is thoroughly assessed for reasonableness).

JLL Budgets

Preparation of the business budget and the future 2-year forecasts.

Valuation Brief

Assist in the collation of documentation to support the valuation brief for independent valuers.

Financial Year End Requirements

Preparation and review of end of year reports required to be submitted to Owners for their yearly reporting requirements.

Engage and work closely with the independent auditor/s to meet legal, corporate and Owner requirements.

Assist with any tax reporting for Owner.

General

Proactively oversee all financial transactions and raise concerns in a appropriate and timely manner

Act as the primary contact for interaction with all parties to keep financial documentation current and accurate.

Assist head office with special projects when requested.

Educate the team on financial issues including accrual accounting

Responding to external auditor and authority audit  queries on a timely basis.

Financial compliance by ensuring preventative and detective controls are in place and are being adhered to.

Participate in the property and corporate EH&S program.

Key Result Areas:

Consistent delivery of all client and corporate reports to meet delivery milestones and to high quality and accuracy levels

Preparation and lodgment of annual property budgets to meet delivery deadlines

Demonstrable record of monthly processing of all corporate fee and recharge processing

Proactive management of corporate and property arrears

Accurate reflection of the property finances and tenancy schedule in Acumen
