[Client/Stakeholder Management]
· Provide a welcoming approach to all visitors, accommodating the visitors, identifying the host and facilitating collection. This includes logging in and out any client visitors
· Greet, register and badge visitors
· Answer general phone inquiries professionally, respond to questions calls as needed and relay the message to the appropriate employee
· Maintain a neat and organized front desk and lobby areas and ensure desk is stocked with necessary supplies
· Meet and greet clients promptly and contact staff members to advise of guests’ arrival
· Distribute the parking ticket to the guest leave and log the list
· Order international courier, express service (quick service), general courier delivery and condolence/celebration flower support: requests from clients
· Collect and/or receive mail and courier deliveries, receiving receipt in register and informing relevant staff
· Resolve problems associated with all building services including Janitorial, mailroom support, parking, badging, conference rooms and supplies
- Fulfill any ad-hoc requests promptly and efficiently to support facilities issues
- Ensure any faults or defects are noted and reported to ensure outstanding client experience
· Cooperate with AFM to update monthly metrics (counting monthly visitors, badging, mail and courier deliveries)
· Book meeting rooms as requested
· Build and develop effective client / stakeholder relationships across multiple levels of the organization
· Ensure any faults or defects are recorded and reported to facilities team to ensure an outstanding client experience is maintained
[Vendor Management]
· Assist the facilities team in the management and induction of all contractors on site to ensure they perform to the required standards
· Assist in the procurement of vendors and services as required
[Finance Management]
· Proceed monthly invoice/voucher for service expenses with client’s finance system
· Assist in financial processes for facilities management team, to ensure that all financial management requirements are completed in a timely and accurate manner
· Ensure prompt and accurate management of purchase orders in the financial system, as required
[Site Operations Management]
· Seek ways to constantly reduce costs and improve operational standards
· Maintain premises in neat and good working conditions
· Organize stocks and track inventory
· Provide and maintain proper trackers for operation and reporting
· Put up communication/ announcement through email or notice
· Assist with reporting and follow up of building management issues
[Job Requirements]
· Fluent in English
· 2-3 Years Reception/Concierge career
· Experience in front and back-office processes are required with strong Administration Skills.
· Strong Customer Service focus
· Excellent people skills and ability to interact with a wide range of client staff and demands
· Demonstrated experience with continuous improvement initiatives
· Demonstrated experience with client reporting and preparation of reports
